About The Team
We are a national network of accounting firms. The Human Resources team sits at the intersection of our central (HQ) and distributed Partner firm teams. We are responsible for program managing new firm integration into the platform, harmonizing policies, transitioning and processing payroll and offering benefits as the employer of record, managing people systems, and ensuring compliance.

About The Role
We are seeking a highly skilled and experienced HR Compliance Manager to join our team. The ideal candidate will have extensive experience in managing HR compliance within the context of mergers and acquisitions, including the merging and terminating of 401k plans, and completing final 5500 filings for benefit plans. Additionally, the candidate should have experience in employee relations and setting up HR compliance for new state nexus. Experience handling visas and immigration activity is highly desirable. The HR Compliance Manager will ensure our company adheres to all relevant laws and regulations, and that our HR practices are efficient, effective, and legally compliant.

Key Responsibilities:
Mergers and Acquisitions:

  • Provide HR compliance expertise during M&A activities, ensuring seamless integration and alignment with regulatory requirements.
  • Assist with due diligence and harmonization on HR practices, policies, and benefits of partnered companies.
  • Participate in HR integration plans for newly partnered companies.
  • Advise on and manage the merging or termination of 401k plans post-closing.

401k Plan Management:

  • Oversee the merging and terminating of 401k plans, ensuring compliance with ERISA and other regulatory requirements.
  • Coordinate with plan administrators, financial advisors, and legal counsel to execute plan mergers or terminations.
  • Ensure all participant communications and required disclosures are completed in a timely and accurate manner.

Final 5500 Filings:

  • Manage the preparation and filing of final Form 5500s for benefit plans, ensuring accuracy and compliance with Department of Labor (DOL) regulations.
  • Work with external auditors and internal teams to gather necessary information and documentation for filings.
  • Address any inquiries or issues related to Form 5500 filings from regulatory agencies.

Employee Relations:

  • Manage and resolve complex employee relations issues, including conducting effective, thorough, and objective investigations.
  • Provide coaching and guidance to managers on employee relations matters to ensure fair and consistent treatment of employees.

New State Setup:

  • Manage HR compliance for new state nexus, ensuring compliance with state-specific employment laws and regulations.
  • Develop and implement processes for onboarding and terminating employees in new states, including setting up state-specific payroll, benefits, and employment policies.
  • Collaborate with legal and tax departments to ensure all state registration and reporting requirements are met.

Compliance Monitoring and Reporting:

  • Develop and implement HR compliance policies and procedures to ensure adherence to federal, state, and local laws.
  • Monitor changes in legislation and regulations affecting HR compliance and update policies accordingly.
  • Conduct regular compliance audits and prepare reports for senior management.

Training and Support:

  • Provide training and support to HR staff and other departments on compliance-related matters.
  • Serve as a point of contact for HR compliance issues and provide guidance and resolution.

Visas and Immigration:

  • Oversee and manage the company's visa and immigration processes, ensuring compliance with all relevant laws and regulations.
  • Coordinate with external immigration counsel and internal stakeholders to prepare and submit visa applications and petitions.
  • Monitor the status of visa applications and provide updates to employees and management.
  • Develop and maintain immigration policies and procedures.

What you’ll need:
Basic Qualifications:

  • Professional HR certification (e.g., SHRM-CP, SHRM-SCP, PHR, SPHR) is highly desirable.
  • Minimum of 5 years of experience in HR compliance, with a focus on mergers and acquisitions.
  • Proven experience with 401k plan management, including merging and terminating plans.
  • Demonstrated knowledge and experience with Form 5500 filings.
  • Strong experience in employee relations and managing complex employee issues.
  • Experience in setting up HR compliance for new states.
  • Strong understanding of ERISA, DOL regulations, and other relevant laws and regulations.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal and communication skills, with the ability to work effectively with all levels of the organization.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Preferred Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or related field, preferred
  • Visa and Immigration Compliance Experience
  • Global Compliance Experience, preferred
  • Bias toward action - constantly pushing toward alignment, clarity, and execution on tight timelines
  • Excellent written and verbal communication skills
  • Proficiency in Excel, writing memos and preparing presentation materials
  • Strong analytical skills and the ability to tackle problems logically; Data-driven approach to decision-making and sound business judgment to determine project performance and financial viability, grounded in analytical thinking

Since this position operates as part of a US East Coast-based team, please expect the typical working hours for this role to generally align with EST work hours to allow for effective collaboration. We offer flexibility in managing your schedule to maintain a healthy work-life balance while meeting business needs.

The base salary range for this role is USD $90,000 per year – USD $120,000 per year, plus a 10% annual bonus target. Additionally, you will be eligible for benefits including Health, Dental, Vision, 401(k), etc.
