Job Purpose

The Property Management Associate (PMA) will be primarily responsible for property-level operations and financial matters for a diverse portfolio of properties across the United States. Collaborating with third-party property managers (3PM) in various markets, the Associate reports directly to senior PMA and VP of Operations. Additionally, they work closely with Asset Managers, a Regional Director and Accounting team, to foster client relationships, maintain property upkeep and ensure accurate accounting records for certain revenue and expense items.


Duties and Responsibilities

  • Serve as the primary point of contact between tenants and third-party property managers (3PM) fostering strong relationships to address inquiries and resolve any issues related to tenant account management and property operations.
  • Oversee all 3PMs involved in property operations, including daily tasks, tenant relations, lease management, maintenance coordination, financial oversight, inspection reporting and compliance.
  • Collaborate with 3PMs to develop and review annual budgets, recovery pools, lease assumptions, non-recurring property expenses and monthly accruals for operational accounts (CAM). In the absence of a third-party manager, PMA to prepare monthly CAM expense accruals.
  • Manage account payable and account receivable systems, handling tasks such as invoice indexing, approval, vendor setup, general ledger adjustments and collections outreach.
  • Handle property-level utility and telecommunications accounts.
  • Prepare quarterly variance reports and financial reviews from MRI, involving third-party managers as necessary for GL adjustments and recommendations to changes related to tenant escrows. Assist Regional and Asset Managers with these reviews.
  • Generating and delivery of year end tenant reconciliations while addressing tenant-related financial questions.
  • Support Capital projects by creating amortization schedules and invoice reviews.
  • Calculate tenant utility billbacks and handle tenant-specific billbacks (if not managed by 3PM).
  • Coordinate with Ryan Tax Services to ensure timely payment of real estate taxes and provide financial information for appeals. Collaborate with Ryan on various tax filings.
  • Assist with the onboarding process for new acquisitions, new property managers and new leases/tenants, while also assisting with the disposition process.
  • Ad hoc projects as assigned.

Qualifications

  • Bachelor’s degree
  • 3+ years of commercial real estate experience
  • Working knowledge of accounting processes with focus on accrual and reconciliations.
  • Experience with the AVID, QuickBase, and MRI software packages.
  • Extensive knowledge of Excel.
  • Ability to read and interpret lease language.
  • Good interpersonal, oral, and written communication skills.
  • Ability to work independently and meet deadlines.
  • Highly detail oriented.
  • Team player who possesses strong analytical and problem-solving abilities.

Working Conditions

Position does not require special working conditions. Employee works in an office setting as well as remotely utilizing a laptop provided by company.

Direct Reports

Position has no direct managerial responsibilities.
