Position Summary

The Accounts Payable Clerk is a vital part of the Tribal accounting team. Under the general supervision of the Controller, the AP Clerk is responsible for ensuring the accurate and timely processing of vendor invoices, maintaining the vendor files, handling vendor correspondence, managing vendor 1099 filings, and managing weekly customer aging reports.


Duties and Responsibilities

In addition to the core responsibilities mentioned above, the following are essential duties of this position:

  • Fund Accounting Expertise: Possess knowledge and/or experience in fund accounting.
  • Vendor Invoicing and Payments: Establish, maintain, and report on vendor invoicing activities and payments.
  • Invoice Compliance Review: Review vendor invoices for compliance with requisitions and purchase orders, proper authorization, correct account coding, receiving documentation, and sales and use tax regulations.
  • Credit Card Reconciliation: Reconcile and pay monthly credit card statements.
  • Periodic and Repetitive Payments: Establish, monitor, and pay periodic and repetitive payments (e.g., rent, utilities, tuition).
  • Vendor Relations and Recordkeeping: Maintain positive vendor relations and ensure accurate recordkeeping.
  • Procedure Adherence and Development: Follow established procedures and identify opportunities for procedural improvements when applicable.
  • Vendor Master File Maintenance: Maintain accurate and up-to-date accounts payable vendor master files, including current W-9 forms and accurate tax information.
  • Payment Processing: Understand and execute vendor payments via check and ACH (direct deposit) where applicable.
  • Customer Aging Reports: Prepare customer aging reports weekly.
  • Adaptability: Demonstrate the ability to accept and adapt to new and different situations.
  • Other Duties: Perform additional tasks and responsibilities as required and assigned.

Qualifications

  • High School diploma or equivalent required.
  • Two years of related experience and/or training or equivalent, or a combination of education and experience.
  • English language proficiency.
  • Strong attention to detail, ability to multitask and good organizational skills.
  • Intermediate math skills.
  • Proactive and a self-starter; able to recommend best practices.
  • The ability to work independently and to work with people at all levels.
  • Must possess excellent verbal and written communication skills.
  • Ability to work under pressure and meet daily and period-ending deadlines.
  • Knowledge of Sage Intacct accounting software is a plus.
  • Experience working in a Tribal Government is a plus.

The candidate must be at least 21 yrs of age.
