Position Summary:
The Construction Office Assistant will serve in the critical position of our front desk and be the first point of contact for callers, visitors, applicants, and employees. This position will have the ability to work with many different members of the team and in many different areas of the company.


The ideal candidate will be energetic and enthusiastic in their interactions with our team and with applicants. This position requires flexibility, a true desire to help out in whatever capacity is needed and the initiative to act without constant direction.

Essential Duties & Responsibilities:
• Greet and welcome visitors, applicants and employees
• Answer phones, transfer calls and take messages with courtesy and accuracy
• Process incoming mail and packages
• Light housekeeping of front entry, kitchen/lunch room and office
• Assist with setting up meeting room for various meetings and classes
• Assist with new hire screenings, onboarding and orientation as directed
• Distribute items to employees as directed
• Accurately route and file incoming paperwork from crews
• Assist as directed with creating and routing project documentation
• General copying, scanning and filing
• Assist with neighborhood business outreach and meetings
• Assist in keeping forms, documents and communication materials consistent with messaging and format
• Assist in creating new documents, materials and communications
• General assistance to management and staff with miscellaneous tasks


Working Conditions & Physical Requirements:
• The position is not physically demanding outside the scope of normal office work.
• The employee will be required to sit or stand for long periods of time while using office equipment.
• The employee may be required to occasionally lift or move files and boxes weighing 25 lbs.
• The employee may be required to walk around and interact with employees in outdoor areas of the business.
• Office setting is business casual attire and non-smoking.


Knowledge, Skills, and Abilities:
• Advanced level proficiency with Microsoft Office suite: Outlook, Word, Excel; and Adobe suite.
• Comfortable communicating (verbal & written) and collaborating with members of different departments as well as field crews
• Experience using copiers, scanners, printers, and multi-line telephone systems
• Understanding and appreciation of the construction industry
• Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
• Strong ethical standards
• Strong organizational skills and high attention to detail
• Able to work independently or as a team player to perform duties in a timely manner
• Comfortable working in a small office environment where each team member helps out wherever is needed
• Will be required to sign a confidentiality, non-solicitation agreement

• Knowledge of Nutshell CRM and Sage Field Operations software a plus
