Job Description:

East Harris County Empowerment Council is seeking a proactive and highly organized Executive Assistant to provide comprehensive support to the CEO. The successful candidate will play a pivotal role in facilitating the CEO's effectiveness and ensuring the smooth operation of the executive office. This position offers an exciting opportunity to contribute to the mission-driven work of our organization and make a meaningful impact on the community.

Responsibilities:
  1. Executive Support:
    • Act as the primary point of contact for internal and external stakeholders, including staff, board members, partners, and community members.
    • Manage the CEO's schedule, including calendar coordination, appointment scheduling, and travel arrangements.
    • Prepare and prioritize correspondence, emails, and other communications on behalf of the CEO.
    • Conduct research and compile information for presentations, reports, and meetings as requested.
    • Anticipate the needs of the CEO and proactively identify opportunities to streamline processes and enhance efficiency.
  2. Administrative Assistance:
    • Provide administrative support to the CEO, including drafting documents, preparing expense reports, and maintaining files and records.
    • Coordinate and prepare materials for board meetings, executive team meetings, and other organizational gatherings.
    • Assist in organizing special events, conferences, and community outreach initiatives as needed.
    • Handle confidential and sensitive information with discretion and professionalism.
  3. Board of Directors Support:
    • Serve as a liaison between the CEO and the Board of Directors, facilitating communication, scheduling meetings, and coordinating logistics.
    • Prepare meeting agendas, distribute materials, and record minutes for board meetings.
    • Assist in recruiting and onboarding new board members, including coordinating orientation sessions and providing relevant information.
    • Support board committees as needed, including scheduling meetings, assisting with documentation and following up on action items.
  4. Relationship Management:
    • Cultivate positive relationships with internal and external stakeholders to promote effective communication and collaboration.
    • Collaborate with other staff members to ensure alignment and coordination of efforts across departments.
  5. Special Projects:
    • Support the CEO in executing special projects and initiatives to advance the organization's strategic objectives.
    • Conduct research, gather data, and prepare reports supporting decision-making and problem-solving.
    • Assist in coordinating cross-functional teams and managing project timelines and deliverables.
Qualifications:
  • Bachelor's degree in business administration, public administration, or a related field preferred.
  • A demonstrated commitment to serving as an executive assistant, special projects coordinator, or similar role as seen through work experience, volunteer work, and/or education.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
  • Strong written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
  • Proficiency in Microsoft Office and Google Suite (Word, Excel, PowerPoint, Gmail) and other relevant software applications.
  • Ability to exercise discretion and maintain confidentiality when handling sensitive information.
  • Demonstrated ability to work independently, take initiative, and problem-solve creatively.
  • Commitment to the mission and values of East Harris County Empowerment Council and the communities we serve.
  • Strong preference is given to candidates who reside in or who may be familiar with the East Harris County region.
