Summary/Purpose

The Volunteer Engagement Specialist will serve an instrumental role in shaping a vibrant and impactful volunteer experience at Summit Academy OIC. The individual in this role, in partnership with key staff, will design a comprehensive volunteer program that will be adopted and integrated across the organization to maximize positive and fulfilling volunteer opportunities across Summit Academy OIC. The Volunteer Engagement Specialist will be accountable for the successful execution of this program. The primary responsibility of this role is to recruit, train, support and retain volunteers who are able to contribute their talents and expertise to enhance student success and advance our mission. This new function will play a pivotal role in building relationships with partners, businesses and individuals who share our commitment to empowering individuals through skill-based training. The ideal candidate for this role will have a passion for community service, excellent interpersonal skills, and the ability to manage multiple tasks effectively

Essential Functions

Volunteer Coordination

  • Serve as the main point of contact for volunteers across the entire volunteer experience at Summit
  • Coordinates volunteer schedules and activities and cross-collaborates with Summit staff
  • Develops and implements processes and procedures to ensure a streamlined volunteer experience
  • Communicates with staff to ensure staff readiness and a successful transition to the volunteer role
  • Document and track all volunteer activities, contact information and communications in the appropriate CRM and ensure appropriate follow-ups with key internal and external stakeholders
  • Maintain accurate records of all volunteer activities including hours contributed
  • Match volunteer skills and expertise with specific needs and objectives within the organization

Volunteer Recruitment, Onboarding and Engagement

  • Develop and implement effective strategies to recruit a diverse group of volunteers
  • Implements a volunteer onboarding and engagement experience in partnership with key staff
  • Create onboarding materials outlining organizational policies, procedures and expectations, maintain updated volunteer role descriptions
  • Prepare welcome materials, including presentations and written guides, working with Marketing & Communications.
  • Implement orientation sessions welcoming volunteers and introducing the organization
  • Introduce volunteers to key staff members, stakeholders and other volunteers building community
  • Ensure volunteers have all the resources necessary and are informed how to access resources
  • Schedule check-ins to ensure successful transition to the role and address any feedback promptly

Relationship & Communications Management

  • Develop and maintain up-to-date compelling pitches and presentations to attract volunteers, businesses and professionals.
  • Ensure Summit’s digital communications promote volunteer opportunities and the impact of volunteerism, partnering with Marketing & Communication to develop a website landing page, impact stories, emails, social media posts and more.
  • Establish, foster and maintain relationships with organizations, businesses, and individual volunteers to promote volunteerism and Summit’s mission.
  • Partner with key Summit staff to establish a volunteer recognition program
  • Serve as lead event coordinator managing logistics for volunteer recognition events
  • Partner with development staff in crafting long-term communications strategies designed to maintain volunteer relationships beyond active service for the purpose of cultivating potential new donors

Documentation and Reporting

  • Ensure compliance with legal requirements and organizational policies regarding volunteer engagement.
  • Ensure all volunteers sign necessary agreements, waivers, and consent forms (e.g., code of conduct, confidentiality agreements).
  • Maintain records related to volunteer background checks
  • Prepare regular reports on volunteer participation, impact, and outcomes for internal use
  • Compile metrics to demonstrate the value and effectiveness of volunteer programs
  • Use feedback from volunteers, staff, and stakeholders to continuously refine and optimize the experience

Supervisory Responsibility

This position does not have supervision responsibilities.

Work Environment

This role operates in a professional and in-person office environment located across two campuses in Minneapolis, MN. This role routinely uses standard office equipment such as computers, phones, photocopiers, cameras, and video equipment.

Physical Demands

This position does not require any physical labor. The position will be assigned to a largely sedentary role and requires the ability to work at a desk for extended periods of time using a computer and standard office equipment.

Position Type and Expected Hours of Work

This is a full-time, exempt position under the Fair Labor Standards Act (FLSA). Summit Academy’s regular business hours are Monday through Friday, 8 a.m.-5 p.m. Limited weekend and evening hours are required as needed. Most of the time will be spent in-office, but remote work hours are possible and contingent upon agreement with supervisor.

Travel

Some local/domestic travel required.

Minimum Qualifications

  • Bachelor's degree in education, business administration, human resources, or related field
  • Excellent project coordination and follow-through skills with keen eye for detail
  • Demonstrated experience in exceeding customer service expectations

PREFERRED EDUCATION & EXPERIENCE

  • Minimum of 3 years of demonstrated volunteer engagement experience
