Position Overview:
We are excited to add a new full-time, on-site role for an Office Manager to our awesome team in Hopkinton, MA  We are moving into a brand new, beautiful headquarters and we need some help to maintain it  Are you a customer-focused, organized and enthusiastic administrative professional who can wear many hats?  If the answer is yes, then we are looking for you  You will be the “face of the company,” the first person people see when they arrive and the last person they see before they depart.  This role reports to the Vice President, People & Culture.

Key Responsibilities:
  • Assist with calendar management, booking travel and filing expense reports for the Executive Management team
  • Sit at the reception desk to greet and manage visitors
  • Administer badge access for employees and visitors
  • Manage office vendors
  • Maintain the general upkeep of the office ensuring cleanliness and organization
  • Order and maintain stock of office and kitchen supplies, including consumables (coffee, cups, water, pens, etc)
  • Oversee general building cleanliness and liase with office cleaning services
  • Act as point of contact for all facilities related issues
  • Arrange event logistics for on and off-site events as needed
  • Oversee FedEx, DHL, UPS and other courier accounts to manage mail/package deliveries to support inbound and outbound, international, and domestic shipments
  • Manage the security of the office through maintaining visitor passes and creating access badges for new employees
  • Support the team on diverse projects that keep the office thriving
  • Consistently check mail, scan, and send to appropriate parties

Qualifications:
  • Proven self-starter – takes initiative to identify improvement opportunities to implement new processes
  • Autonomous – independently follows through on tasks with the judgement on when to check in
  • Positive, high-energy individual – makes all tasks an opportunity to create, improve and smile
  • Strong communication skills, both written and verbal
  • Excellent customer service skills
  • Proficient in Microsoft Office
  • Highly organized with attention to detail
  • Ability to work in a fast-paced environment
  • High School diploma and 2+ years' work experience

Location: This is an onsite role in Framingham, MA start, moving to Hopkinton, MA November 2024
