Position Summary:


We are seeking a highly organized and detail-oriented Project Coordinator to join our team at Fortress Fencing, LLC, a leading commercial fencing company. The Project Coordinator will play a pivotal role in supporting the successful execution of fencing projects, ensuring that all aspects of the project are running smoothly and efficiently. This position requires excellent communication skills, the ability to multitask, and a strong understanding of project management principles.


Essential Duties & Responsibilities:


1. Project Planning and Coordination:


• Assist the Field Operations Manager in developing project plans, schedules, and budgets.
• Coordinate with various stakeholders, including clients, contractors, and suppliers, to ensure project requirements are met.
• Maintain project documentation, including contracts, purchase orders, and correspondence.


2. Communication and Collaboration:


• Serve as the primary point of contact for project-related inquiries and updates.
• Facilitate communication between the project team, clients, and subcontractors.
• Organize and participate in project meetings, preparing agendas, and documenting minutes.


3. Resource Management:


• Assist in the procurement and management of materials and equipment needed for projects.
• Track and report on resource allocation and usage to ensure efficient utilization.


4. Scheduling and Timeline Management:


• Monitor project timelines and milestones, ensuring that deadlines are met.
• Identify potential delays and work proactively to mitigate risks.


5. Quality Control:


• Ensure that all project activities comply with company standards and client specifications.
• Conduct regular site visits to monitor progress and address any issues that arise.


6. Financial Management:


• Assist in tracking project expenses and maintaining budgetary controls.
• Prepare and submit regular financial reports to the Project Manager.


7. Risk Management:


• Identify potential project risks and develop mitigation strategies.
• Maintain a risk register and update it regularly.


8. Documentation and Reporting:


• Prepare and distribute regular project status reports.
• Maintain comprehensive project records and ensure all documentation is up-to-date.


9. Continuous Improvement:


• Identify opportunities for process improvements and implement best practices.
• Participate in post-project reviews to capture lessons learned and apply them to future projects.

Requirements:
  • Bachelor’s degree in Construction Management, Business Administration, or a related field, or equivalent experience.
  • 2+ years of experience in project coordination, preferably in the construction or commercial fencing industry.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in project management software and Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.

Working Conditions:


• Primary office and some field environments; may require occasional local travel to project sites.
• Ability to work under pressure and meet tight deadlines.


Physical Requirements:

  • May be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, keyboard, and telephone, along with other general office equipment.
  • Close vision abilities required due to computer work.
  • Light to moderate lifting/carrying of 25 lbs may be required.
  • Reaching overhead or below.
  • Work environment may include being able to tolerate moderate noise (i.e., business office with computers, phones, printers, light traffic)
  • Ability to work in a confined area.
  • Ability to sit at a computer terminal for an extended period.
