SUMMARY

The Project Administrator will provide overall administrative support to the Controls team, working directly with customers, vendors, and contractors to ensure successful project execution. They will be responsible for driving process to ensure high-level customer satisfaction and project administration through communicating with internal team members & leadership, coordination of ordering parts, managing project costs and billing, and providing general administrative support.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following (other functions may be assigned)

  • Provides high-level administrative project support.
  • Coordination with multiple vendors, customers, and contractors.
  • Builds strong relationships with customers and provides support, as needed.
  • Customer purchase order administration.
  • Creates and manages vendor orders to meet customer requirements.
  • Monitors project costs to deliver at or under budget without sacrificing customer satisfaction.
  • Documents work in detail and maintains files for each job.
  • Coordinates with service and technical support teams during start-up and throughout the warranty period.
  • Flexibility to work in-office on a hybrid basis, and as needed – Monday through Thursday, 8am-5pm and Friday 8am-4pm.


QUALIFICATIONS

  • Bachelor’s degree and/or minimum of two (2) years of experience with project management or providing administrative support.
  • Proficient in Microsoft Office – including Excel, Outlook, etc.
  • Strong communication skills both written and verbal.
  • Excellent organizational and time management skills.
  • Familiarity with general mechanical contracting or HVAC Controls is preferred.
