Job Summary
:

We are seeking a personable and highly organized Front Desk Representative to be the first point of contact for guests. The ideal candidate will handle various administrative tasks, provide excellent customer service, and ensure a smooth and welcoming experience for all visitors. You will play a critical role in representing our company and maintaining our reputation for professionalism and hospitality.


Key Responsibilities
:

  • Greet and Welcome Guests: Warmly welcome all visitors upon arrival, ensuring a positive first impression.
  • Check-in/Check-out Procedures: Manage check-in and check-out processes, including verifying reservations, issuing room keys, and processing payments.
  • Answer Phone Calls: Handle incoming phone calls, address inquiries, transfer calls, and take messages as needed.
  • Assist with Inquiries: Provide accurate information about the company, facilities, services, and nearby attractions.
  • Manage Appointments and Reservations: Schedule appointments, manage reservations, and coordinate bookings with appropriate departments.
  • Administrative Tasks: Perform clerical duties such as filing, data entry, and document preparation.
  • Handle Complaints: Address customer complaints or concerns in a polite and efficient manner, escalating issues to the manager when necessary.
  • Security Awareness: Monitor security systems and ensure all visitors sign in and out according to protocols.
  • Maintain Cleanliness: Ensure the front desk and lobby area are tidy and welcoming at all times.
  • Process Payments: Handle financial transactions, including cash, credit card payments, and billing inquiries.

Skills, Knowledge and Expertise
  • High school diploma or equivalent required; additional certifications in office management or hospitality is a plus.
  • Strong communication and interpersonal skills.
  • Proficient in MS Office (Word, Excel) and front desk management software.
  • Ability to multitask and work in a fast-paced environment.
  • Attention to detail and strong organizational skills.
  • Problem-solving skills and ability to handle pressure with a calm demeanor.
