Human Resources- Administrative Asst/Reception (NE6)

Performs a variety of administrative and receptionist duties in conformance with established Bank policies and procedures.

PRIMARY ACCOUNTABILITIES / RESPONSIBILITIES:

Performs any functions necessary, within scope of authority and expertise, to provide the highest level of service and responsiveness to customers.

  1. Provides general administrative support to the Human Resources department and other departments as necessary. Prepares documents, maintains spreadsheets, and performs other tracking and administrative duties as needed in a confidential manner.
  2. Responsible for posting job positions on the Chelsea Groton website (via ADP) as well as other external job boards.
  3. Maintains the HR mailbox and employment applications that are received via the CGB website. Ensures applicants receive acknowledgements on application status.
  4. Conducts pre-screening of applicants, schedules interviews, maintains AAP Applicant Log, and coordinates paperwork to onboard new hires, and post Chelsea Connect Welcome message.
  5. Inputs Customer Solution Associate I candidates into the Predictive Index (PI) platform and sends these candidates the behavioral and cognitive assessments after completing pre-screening. Sends HR and Hiring Manager the Interview Guide once both assessments are completed and prior to interview. Sends Coaching Guide to Hiring Manager upon onboarding with Chelsea Groton Bank.
  6. Creates new hire schedules for Retail Banking employees and onboarding schedules for new hires for all other departments.
  7. Sends New Hire survey (via Survey Monkey) to all new hires 30 days post hire date. Provides HR Manager with new hire survey results.
  8. Posts EAP (Kepro) monthly services for publication on Chelsea Connect Happenings post.
  9. Develops, maintains, and communicates the employee ticket program for all employees. Responsible for maintaining spreadsheet as well as collecting and depositing monies in the appropriate CGB account for this program. Updates employee ticket program document on Chelsea Connect as needed.
  10. Posts daily birthday and anniversary milestones to Chelsea Connect and backs up the System Administrator for the Chelsea Acorn Rewards Program.
  11. Reconciles insurance billing for payments, inputs new hires into benefits platform, and inputs data entry information into other benefit/wellness applications.
  12. Maintains, updates, and posts organizational charts, as needed.
  13. Operations the communications console. Receives incoming calls and forwards to appropriate party, takes messages, or provides information within guidelines.
  14. Greets, directs, and provides assistance to visitors. Ensures all visitors are escorted throughout the facility and logs each visitor on the Visitor Log.
  15. Ensures Receptionist coverage at all times. Coordinates replacement when necessary.
  16. Assists incoming and outgoing mail as well as deliveries. Serves as liaison between staff and outside courier services, handling packages and supplies.
  17. Purchase standard departmental supplies (via W. B. Mason).
  18. Promotes the Bank’s products and services and maintains an active participation in community affairs.
  19. Responsible for adhering to bank policies and procedures related to regulatory compliance requirements applicable to the job function.
  20. Performs related and unrelated duties as may be required.

POSITION REQUIREMENTS: High school diploma or equivalent. At least one year of administrative and reception experience. Demonstrated communications and interpersonal skills. Microsoft Suite experience (Word, Excel, Powerpoint) and the ability to manage tasks simultaneously. Ability to have a high level of accuracy with work products. Able to use various types of office equipment including computer.

SUPERVISORY SCOPE: None

INDEPENDENT ACTION: Performs work within established guidelines and according to specific procedures. Refers problems to immediate manager. May resolve some problems rather than referring them on.

COMPLIANCE: Responsible for adhering to bank policies and procedures relating to regulatory compliance requirements applicable to the job function including but not limited to Bank Secrecy Act, Anti-Money Laundering and Fair Lending.
