JM Fabrication, a leader in the defense manufacturing sector, is seeking a highly detail-oriented Sales Order Administrator. The successful candidate will review and verify incoming customer purchase orders (POs) for accuracy, ensuring all critical details are captured and entered into our ERP system. This role is pivotal in managing customer requirements, including lead times, pricing, revisions, part numbers, quality standards, and other flow down requirements. Additionally, the Sales Order Administrator will support the planning team by creating production routings and tracking orders through to production.

Key Responsibilities:

  • Review and Verification:
    • Analyze and verify incoming customer contracts and POs for accuracy and completeness.
    • Confirm lead times, pricing, revisions, part numbers, quality standards, and additional flow down requirements.
    • Accurately enter detailed order information into the ERP system.
    • Maintain up-to-date records of all customer orders and contracts.
  • Order Management:
    • Oversee the lifecycle of customer orders from receipt to delivery, ensuring all customer specifications are met.
    • Collaborate with internal teams, including production, quality assurance, and shipping, to ensure timely and accurate order fulfillment.
    • Serve as the main point of contact for customers regarding their orders, providing updates and addressing any issues or discrepancies.
    • Ensure customer satisfaction by clearly communicating order details and resolving any concerns.
  • Quality Assurance:
    • Ensure all products meet the required quality standards and specifications.
    • Work closely with the quality assurance team to resolve any quality-related issues.
    • Identify and implement process improvements in order management and data entry.
    • Participate in ongoing training and development to stay updated with industry standards and best practices.
  • Planning Support:
    • Assist the planning department by creating and managing production routings.
    • Work collaboratively with planners to ensure accurate scheduling and efficient workflow.

Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred.
  • Experience in order management, contract administration, or a similar role, preferably in the defense industry.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Proficiency with ERP systems and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities.
  • Knowledge of production planning and creating production routings is a plus.
  • Familiarity with defense industry regulations and standards is beneficial.
