Job Title: Administrative Assistant
Reports to: Director level and above
FSLA status: Full Time, Non-exempt
Wage: $18 - $21 per hour
* Starting pay varies based on location and experience, in compliance with specific state wage regulations. Competitive rates tailored to your geography and expertise.
Job purpose
This position assists with running system reports, initiating correspondence and other confidential administrative related functions.
Duties and responsibilities
- Support with Administrative responsibilities
- Assist in creating monthly management reports for clients
- Responsible for maintaining monthly client reports
- Meet ad-hoc reporting needs
- Engage in critical analysis of data with focus on pro-active actions
- Ability to identify and respond to trends in data
- Prepare materials for client meetings, conference calls, etc.
- Prepare agendas and minutes for client meetings
- Track agenda follow-up materials to client meetings from various sources
- Calendar management
- Prepare correspondence
- Produce necessary documentation
- All other duties as assigned
Qualifications
- 3+ years Administrative Assistant experience
- Extremely organized
- Ability to work in a fast paced work environment, ability to multi-task and prioritize
- Analytically oriented and able to communicate findings both verbally and in writing
- Proficient in Microsoft Office; MS Word, MS Excel, MS PowerPoint
- High level of accuracy and attention to detail
- Ability to maintain high-level of confidentiality
Physical Requirements
Physical ability to sit, talk, hear for extended periods throughout the work day; stand, walk, push/pull, bend, stoop, kneel and reach on a regular to seldom basis. Repetitive hand motions on a frequent basis including fingering, grasping and handling. Ability to read handwritten and typed documents on paper and/or on computer screens.
