  • Knowledge of the operation, policies, and procedures of the Wayne Township Trustee Office (WTTO) Eligibility Standards and Township Law preferred.

 

ESSENTIAL FUNCTIONS: 

  • Effective communication
  • Backup the Director as requested.
  • Skillfully gather, analyze, and verify information from clients, and administer assistance according to Wayne Township Trustee Office (WTTO) and Indiana Township Association policies and procedures.
  • Efficient use of Township dollars.
  • Represent WTTO with professional and compassionate delivery of social services.
  • Fully utilize WTTO software applications.
  • Maintain confidentiality.

 

DUTIES AND RESPONSIBILITIES:  

  • Complete tasks/duties as assigned by the Trustee, Deputy Trustee, and Director of Intake/Case Management.
  • Review cases.
  • Fill in other departmental positions.
  • Maintain knowledge of alternative assistance for clients. Maintain a good working relationship with social service agencies, faith-based organizations, and utility service organizations in the community, and knowledge of what services they provide.  Refer clients as needed to the WTTO community resource specialist or to outside sources for assistance. 
  • Assist with Intake/Case Management communications.
  • In a timely manner complete paperwork and communications with the Social Security Administration relating to client repayments of assistance.
  • Monitor the front desk as needed - Verify clients are residents of Wayne Township before referring them for assistance. Assign clients to Caseworkers.  Answer front desk phones and transfer callers as needed.  Inform employees they have visitors.  Provide informational materials to clients as needed.
  • Resolve client disputes if possible. Involve management and/or security if needed.
  • Inform the Director of concerns, issues, suggestions in a timely manner.
  • Attend departmental meetings.
  • Prepare for and attend Appeal Hearings in the Commissioner’s Court.
  • Reassign workers to cover for employee absences.
  • Review client cases to ensure required information has been received and verified, and the cases are accurately documented.
  • Negotiate client payment extensions and budget payment plans with utility companies and landlords.
  • Ensure ownership verification of property, through the review of property deeds, information from the Assessor’s office, and other measures.
  • Review Trustee Action letters and vouchers.
  • Monitor the usage of numbered forms. Make corrections for incorrect purchase order numbers.
  • Compose correspondence in accordance with general instructions from the Director.
  • Perform photocopying and filing as needed. Scan and index client data as needed.
  • Maintain contact lists.
  • Create reports requested by the Township clerk.
  • Perform home visits for homebound clients, as needed.
  • Monitor client safety while they are in the Intake/Case Management area.
  • Monitor Outlook messages multiple times daily. Reply as needed or requested. 
  • Maintain a safe and clean office environment.
