Job Brief


We are seeking a qualitied and adaptable Sales Dept Administrative Assistant to join our Shelby Sales Team to help us achieve our goals. In this role, you will serve as a point of contact for customers with queries about products, orders and deliveries. You will be required to update and maintain multiple Excel spreadsheets.


To ensure success, the Sales Dept Administrative Assistant should have experience in a sales environment, good time management and organizational skills. This candidate should also demonstrate excellent interpersonal, communication and customer service skills. An Outstanding Administrative Assistant understands sales performance and provides administrative support for sales representatives to ensure sales targets are met.


Qualifications:


  • Our ideal candidate is goal-oriented and has a deep knowledge of customer service best practices, has the ability to work independently without constant supervision, must have good multitasking skills and always maintains a professional appearance and composure with staff and customers.
  • Excellent written and verbal communication skills.
  • Must develop knowledge of products, stay up to date with new products and features.
  • Remain apprised of the processes & procedures as they relate to vehicle builds and/or the sales dept.
  • Knowledge of appropriate software including: Excel, Microsoft Word and Outlook. (Sage and Oasis, a plus)


Essential Job Functions:

  • Carry out administrative duties such as filing, typing, copying, scanning etc.
  • Answer all incoming sales inquiries via email. Respond in a professional manner and re-direct where necessary.
  • Creating and maintaining customer vehicle e-files in a confidential manner, which includes all forms, invoices, data entry and customer Logistics Reports for vehicles.
  • Manage, update and create an array of Excel Spreadsheets pertaining to vehicle builds.
  • Processing of Vehicle Completion Certificates.
  • Process sales orders and checking vehicle modification specifics.
  • Provides information and/or follows up on customer issues as requested.
  • Organize and maintain sales office, supplies and cleanliness.
  • Perform other duties as assigned by management and/or direct supervisor.

  • Documentation: Record and manage information accurately.
  • Communication: Use various methods to communicate effectively with supervisors and peers.

Abilities

  • Repetitive Tasks: Perform repetitive physical and mental activities with high accuracy, requires sitting for six to eight hours per shift, face-to-face discussions with peers and/or customers, contact with others (face-to-face).
  • Decision-Making: Exercise autonomy in determining tasks and priorities.
  • Teamwork: Collaborate with others to accomplish goals, requires meeting strict deadlines, use of electronic mail and telephone conversations.

Work Environment

  • Indoor/Outdoor: Primarily indoor work with occasional outdoor exposure. May encounter distracting noise levels indoors and extreme weather conditions. Will be exposed to noise, vibration, dust, exhaust fumes, paint and other hazardous and non-hazardous materials.
  • Independence: Perform job duties independently with minimal supervision. Freedom to determine tasks, priorities and goals.
Requirements:

Qualifications

  • Experience: 3 years of administrative assistant experience. High school diploma or equivalent education required. VERY PROFICIENT IN EXCEL.
  • High School/G.E.D. Work experience may be considered in lieu of a college degree.
  • Drug Screen: Ability to pass pre-employment, random, or reasonable suspicion drug screens.
  • Background Check: Ability to pass a pre-employment background check.
