The Development Coordinator is responsible for supporting the daily operations of the Development team with a focus on managing annual appeals, managing gift acknowledgements, supporting donor events, and maintaining accurate records and processes in Salesforce. They play an important role in developing a strong community centered philanthropic culture in the development department and across the organization.

This position works as a member of the highly collaborative Development team to support communication strategies, data entry, and event implementation in order to achieve annual financial goals and multi-year fundraising campaigns.

Essential Duties and Responsibilities:

  • Development Strategy:
    • In collaboration with the Director of Development, creates and implements strategies, drafts communications, prepares donor lists and coordinates data needs for Individual and Corporate giving teams through email and direct mail efforts related to giving programs and campaigns, including monthly giving programs and annual appeals;
    • With direction from Director of Development and Development Operations Manager, researches, builds, and maintains prospect lists and profiles to support the qualification of new and potential donors;
    • Researches trends and identifies additional stewardship opportunities to grow donor base, including social media campaigns.
  • Acknowledgements and Fulfillment:
    • Ensures timely and accurate gift entry and acknowledgment process for all gifts and associated member benefits, including documentation and follow up of verbal and written pledges. Completely captures acknowledgements and documentation in the Salesforce CRM;
    • Prepares and sends prompt personalized donor acknowledgement letters by preparing data, merging, writing, and customizing language, printing, routing for signatures, documenting in database, and mailing;
    • Coordinates with gift officers to fulfill donor and sponsor benefits including collecting and distributing tangible items and materials;
    • Collaborates with the Gift Officers to procure materials, maintain supplies, lead logistics, and train and supervise volunteers for complex donor activations, such as STEAM Kit builds.
  • Donor Stewardship and Cultivation:
    • Provides excellent customer service and support to OMSI donors, sponsors, members, and patrons;
    • Collaborates with the Development team to support events including generating and managing guest lists and RSVPs in the database, preparing materials, organizing supplies, attending events, greeting guests, and other duties as assigned.

Working Conditions:

  • This position is exempt, paid salaried;
  • This position is regular full-time scheduled for 40 hours/week;
    • Requires working onsite at the museum location;
    • Requires occasional travel around and outside of the Portland Metro area.
  • Physical Demands: 60% sitting, 25% standing, 10% lifting/carrying 50 lbs.;
    • Ability to push or pull carts and other equipment for food/drink deliveries up to 250 lbs.
  • Vision Demands include:
    • Close vision (clear vision at 20 inches of less)
    • Distance vision (clear vision at 20 feet or more)
  • Environmental Demands include:
    • Outdoor Weather Conditions
  • Noise Levels include:
    • Quiet (examples: library, private office)
    • Moderate (examples: business office with computers and printers, light traffic)

Secondary Responsibilities

Secondary responsibilities include-but are not limited to-the following:

  • Provides administrative support to the Institutional Giving team with proposals, grant requests, and reporting as needed;
  • Supports creation of internal and external presentation materials for meetings and events;
  • Provides supervision for volunteers during certain events, such as OMSI's annual Gala;
  • Works with the Volunteer Engagement team to highlight OMSI as a philanthropic option for donors.

  • Donor Stewardship and Philanthropic Landscape Knowledge:
    • Ability to learn about or possess foundational knowledge of Portland's philanthropic landscape to engage in donor stewardship. Alternatively, possesses transferable knowledge from another industry or landscape to engage in donor stewardship;
    • Effective at building and maintaining strong relationships with people of diverse talents and backgrounds, with an emphasis on relationship stewardship and advancing diversity, equity, and inclusion through a racial equity lens.

PREFERENCES:

  • Knowledge and experience with Salesforce or other database programs;
  • Excellent oral and written communication skills in a non-English priority language in Oregon.

Education & Work Experiences:

REQUIREMENTS:

  • 3 years of cumulative experience-with increasing responsibility-in the following:
    • Demonstrated donor relations and/or stewardship activity experience;
    • Developed project management or coordination experience;
    • Applicable marketing and communications skills-experience with direct mail campaigns, database management, customer relations, and strong writing and verbal skills.
    • Demonstrated experience working in a fast-paced environment, often with stringent and overlapping deadlines;
    • Worked collaboratively with both small and large teams/departments to ensure high customer service quality;

PREFERENCES:

  • Experience working with and/or supervising volunteers.
