Since its founding in 2004, Communities In Schools of Nevada has been driven by the belief that every child has unlimited potential but may not have access to equal opportunities to succeed. Our three regional affiliates work across four rural and urban school districts to provide 80,000 Nevada students at 91 high poverty schools a one-on-one relationship with a caring adult and a safe place to learn and grow to break down whatever barriers may exist in their lives.
With more than 120 + community partners, we coordinate resources and services — literally bringing Community into our Schools — to do whatever it takes in supporting the students we serve. CIS of Nevada is one of 26 state offices in a national network with more than 45 years of experience implementing our evidence-based solution for 1.7 million students.
In 2020-2021, CIS of Nevada celebrated a K-12 promotion rate of 96% and our statewide high school graduation rate of 92%.
Job Purpose/Summary
This position is key in ensuring the Western Nevada Affiliate runs effectively and efficiently. It manages the Affiliate operations, collaborates with the Affiliate Executive Director to monitor the Affiliate budget, follows standard operational functions, and supports applicable functions and projects in all departments. Participation in staffing events may also be required. Ability to work with various work styles is also important. Positivity and professionalism are a key combination as is flexibility, communication skills, and balancing tasks of competing priorities. This position will perform all reasonable and work-related duties assigned by CIS of Nevada Leadership.
Duties and Responsibilities
Administrative
- Collaborate with the State Team and Executive Director on communications, guidance, and best practices regarding Affiliate administration.
- Oversee Affiliate filing systems, documents, paperwork, forms, and meeting agendas and minutes.
- Oversee Affiliate-wide inventory checks, stock control, and purchasing procedures.
- Oversee equipment check-out/check-in and responsible for tracking and issuing office keys to Admin Staff.
- Assist the Executive Director on Advisory Council relations.
- Manage relations with Affiliate contractors, vendors, and service providers, ensuring operational benefit to Affiliate, and addressing any Affiliate needs or issues.
- Manage facilities and coordinate with Landlord and staff on needs. Monitor and manage ongoing maintenance, alarm and janitorial needs.
- Collaborate with staff on the secure storage of and timely and proper destruction of organizational paper files.
Financial
- Assist the Executive Director with monitoring the Affiliate budget and generating monthly finance reports.
- Supports Affiliate financial transactions, custodianship of Affiliate petty cash, purchasing procedures, funds request and reconciliation procedures, maintains Affiliate financial files, and deposits Affiliate checks and cash; reviews coding to make recommendations to cardholders on State Finance standards.
- Custodian of Administrative credit card used to make routine purchases for the office and affiliate operations.
Human Resources
- Supports the State Human Resources Department with ensuring all onboarding documentation is accurately completed. May be responsible in assisting with employee and intern exit documentation.
- Assist with candidate interview logistics
Programming
- Manage volunteer coordinator and program, including identifying opportunities, overseeing training and onboarding logistics, and coordinating with Affiliate staff on volunteer needs.
- Enter volunteer information in Donor management system for both programming and Advisory council volunteer hours.
Resource Development and Outreach
- Assist Affiliate and State Development teams with in-kind donation drives and fundraising efforts.
- Manage monitoring monetary and in-kind donations, entering those donations into Donor Perfect, providing supporting documents to State Finance team, overseeing Affiliate donor acknowledgement procedures, and generating monthly giving reports.
- Assist with Affiliate outreach efforts, including tabling events, site visits, and other related activities
Qualifications and Competencies
Qualifications include:
- High school diploma or Associate’s degree
- Bachelor’s degree a plus (focus on nonprofit management, business, or a related field is a plus.)
- Minimum three years office experience.
- Prior employee management desired.
- Strong, proven interest in or experience with nonprofit organizations is highly preferred.
- Ability to work well under limited supervision.
- Detail oriented, well-organized, and ability to manage multiple tasks.
- Must be able to pass criminal background check and drug testing required.
Competencies include:
- Experience with Microsoft Office 365.
- Data entry and CRM experience.
- Ability to write and communicate clearly and effectively.
Work Environment & Physical Demands
- Ability to lift and carry up to 25 lbs.
- Work environment is indoors and climate controlled. Maybe exposed to outdoor weather conditions.
- Moderate noise levels as found in a business office and classroom setting.
- Use of own automobile.
- Must be able to pass a criminal background check, possible fingerprinting, and drug screen.
- Travel required across the State or Travel required to and from school sites
