A "Day in the Life" of the Contract Specialist

As a Contract Specialist at OpenWorks, you'll start your day by reviewing and processing new start and one-time service deals, ensuring all contract submissions are accurate and complete. You'll verify data, review contracts for quality, assign awarded providers to each contract and ensure proper approval chains are followed. Throughout the day, you'll interact with Operations and Sales leaders to address any issues and ensure timely submissions. You'll also engage with Finance to resolve any billing disputes and provide support to the Customer Experience team for missing contracts. Your role will involve creating and processing Promissory notes for Additional Volume (AdVol) paperwork, initial loan details Finance to process, managing key accounts, and ensuring all orders and provider assignments are handled with precision. Your ability to coordinate with multiple stakeholders and address any discrepancies or issues promptly will be crucial in delivering exceptional service and maintaining high standards.

Overview of Responsibilities

  • Maintain in-depth knowledge of OpenWorks' contract policies, products, services, account, and billing processes to ensure accurate customer entry
  • Develop a deep understanding of team dynamics and needs to facilitate effective problem-solving and decision-making
  • Verify the accuracy of data submitted, correct errors, and follow protocols to ensure complete and accurate contract submissions
  • Engage with Operations and Sales leaders to ensure timely and accurate submission of contracts and ticket requests
  • Set up provider assignments with proper margins and establish initial billing details, coordinating with the Billing department on any deviations
  • Assist Operations and Customer Experience with issue escalations, identifying problems and proposing solutions
  • Create and process AdVol paperwork once vendor contracts are established.
  • Process and manage incoming customer sales orders and communications to ensure high-quality service delivery

What You'll Need to Succeed

  • 3-5 years of experience in contract management, with a solid understanding of contract policies, data management, and ERP systems preferred
  • Strong organizational skills and keen attention to detail
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office Suite and ERP systems
  • Proven problem-solving skills and ability to handle complex issues
  • Analytical mindset with a focus on accuracy
  • Ability to manage multiple priorities and deadlines
  • High level of integrity and professionalism
