Job Description

Are you ready to take the lead in ensuring documents are spot on? At Atwell, we're seeking a Document Management Coordinator who's passionate about precision and quality. Be at the forefront of excellence in document management while helping us navigate the exciting world of land acquisition and project support.

As the Document Management Coordinator, you're not just a key player – you're the steward of document accuracy and quality. Working in close synergy with our Document and Payments team, you'll leave no room for errors. Together, we'll uphold the highest standards of client and company compliance.

Responsibilities

  • Serve as the final quality assurance checkpoint for documents drafted by the Document Management team, ensuring that client-provided documents are used accurately and any necessary revisions are made.
  • Communicate effectively with teams to obtain supporting documentation for drafted agreements.
  • Perform thorough reviews of deeds, titles, appraisals, and other supporting documents to ensure accuracy and compliance.
  • Review drafted agreements, including leases, easements, letters of intent, right of entry, and other documents, to guarantee quality and accuracy.
  • Conduct quality reviews of document packages to ensure they meet county recording standards.
  • Verify that work performed by Land Associates aligns with client and company standards for document preparation.
  • Effectively communicate team priorities and conflicts to the Team Leader and Project Managers.
  • Understand and oversee the appropriate handling and disposal of personal identifiable information.
  • Oversee land ownership contact research, preparation of landowner packets, and project event planning.
  • Regularly review workflow matrices with the Associate Director to identify priorities and direct document flow across the project.
  • Oversee the engagement of project databases such as geoAMPS.
  • Maintain, review, and ensure workflow efficiency within the team.
  • Report monthly, or as required, fixed fee monthly totals for title, appraisal, documents, and recordings for monthly invoicing.
  • Follow up with Land Associates or Document team to obtain missing or new execution documents as needed.
  • Foster positive relationships with clients by keeping them informed and responding to their inquiries in a timely manner.
  • Collect, organize, and maintain project materials while following Atwell's project file procedures.

Qualifications

  • Demonstrate proficiency in Microsoft Office applications.
  • Occasionally move about inside the office to access file cabinets, printers, fax machines, etc., and consistently operate a computer and other office productivity machinery.
