About the Role:

The Accounts Payable Specialist specialist is responsible for the timely, accurate, and efficient processing of Accounts Payable information, from processing vendor invoices through the final issuance of payments. This role requires you to focus on being present in your work to constantly notice small details and produce high-quality results. In addition, this position is responsible for accurately maintaining the vendor master database to include gathering W-9 information and processing 1099s.


Position Responsibilities:

  • Process vendor invoices according to established accounting procedures, facilitating timely and accurate entry into the Accounts Payable sub-ledger. Review invoices for proper authorization, support, and coding before entry.
  • Assemble the weekly check run information, participate in review discussions, and process final payments.
  • Maintain the vendor master database to ensure all vendor information is accurate. Collect vendor W9s to facilitate accurate reporting. Assist in 1099 processing.
  • Actively and positively participate in Accounts Payable process improvement initiatives. Develop and maintain procedures and process documentation.
  • Communicate with company personnel to ensure vendor records are accurate and complete. Respond timely and professionally to requests for information.
  • Effectively maintain vendor relationships.
  • Reconcile vendor statements monthly. Research potential discrepancies to timely resolve problems.
  • Perform assigned duties related to monthly close in a timely and efficient manner.
  • Maintain support documentation for the established filing system.
  • Performs other related duties as needed and assigned.

Required Qualifications:

  • A minimum of Associate or Bachelor Degree preferred, high school diploma or equivalent, required
  • Generally 4-5 years year of relevant accounting experience
  • Experience with various accounting systems and software such as: MS Office Suite, Intacct and/or Sage 100 are preferred.
