The Office Manager is responsible for overseeing the organization and coordination of the local office/division operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Assist General Manager with the day-to-day responsibilities and oversees other administrative members.

Responsibilities

The Office Manager will perform the following duties along with any additional duties as assigned by management per business needs. These duties are not listed in any particular order and are subject to change.

  1. Review and approve coding of credit cards in Concur
  2. Review and approve invoices in TimberScann
  3. Ensure deadlines for monthly credit card statements are met
  4. Review and approve hourly timesheets and local office PTO requests
  5. Act as liaison between local office employees and Human Resources
  6. Assist Human Resources as needed to develop and train new hires
  7. Develop process improvements on a continuous basis
  8. Oversees organization planning and development of administrative staff
  9. Assist Human Resources in overseeing business licenses and employees’ credentials
  10. Responsible for ordering of office equipment and office supplies
  11. Answer phones and greet customers as a backup to receptionist
  12. Plan and execute office special events and trainings
  13. Manage office services by ensuring office operations and procedures are organized
  14. Order, assign, track and tarin employees on office equipment
  15. Set-up workstations and assist in office design and planning for growth
  16. Manage mail and draft correspondence
  17. Participate in special projects as needed
  18. Other job duties as assigned

Performance Competencies

  1. Must demonstrate attention to detail, enter data accurately, and self-review work
  2. Must demonstrate analytical skills necessary to research open items and resolve problems independently
  3. Must demonstrate ability to prioritize multiple work assignments based upon company needs and manage time to complete those assignments with minimal supervision
  4. Good written and verbal communication skills to frequently interact with local and corporate support staff
  5. Must establish himself/herself in a role by gaining trust and holding people accountable to deadlines.

Qualifications

  1. Prefer 5 years of administrative support within a fast-paced construction/insurance restoration or claims management environment
  2. Must demonstrate knowledge of basic accounting concepts including accruals, matching and revenue recognition.
  3. Must have advanced Microsoft Excel skills
