ABOUT PATH VENTURES
PATH Ventures is a statewide leader in the development of affordable and supportive housing communities. Recognizing that homelessness is fundamentally a housing issue, PATH, one of the largest homeless services providers in California, created PATH Ventures in 2007. Since its creation, PATH Ventures has completed 27 residential projects and is on track to have a total of 44 residential communities in the next several years.

ABOUT THE JOB
As part of the Path Ventures team, the Associate Director of Administration is responsible for specialized administrative, operational and project management support for PATH Venture's (PV) Board and Executive leadership, as well as for managing the day-to-day administrative needs of the PV real estate, asset management, finance, and administrative functions. The AD will handle details of a confidential and critical nature and will be expected to conduct themselves with the highest degree of dignity, professionalism, and interpersonal efficacy while exercising sound judgment.

Position Responsibilities:

  • Board Support:
  • Maintain confidentiality of matters concerning the Board of Directors.
  • Provide optimum support by working autonomously on projects and initiatives for the Board of Directors and executive team and staying abreast of goals and priorities and ensuring all deadlines are met.
  • Make all pre-meeting arrangements for board, committee, and advisory meetings including calendaring meetings.
  • Create meeting agendas and packet materials, and handle all meeting logistics, catering, audio/visual tech support, Teams and Zoom calls, etc.
  • Attend meetings as required and produce related minutes and records.
  • Maintain Board annual master calendar, photo images, biographies, organization chart, rosters, contact list, Board Handbook and Board Portal.
  • Manage corporate files including corporate agreements, board/committee packages, minutes, and board policies on the Board Portal, and maintain a filing and records system of board related documentation and archives for easy retrieval.
  • Plan and organize with executive leadership board orientations, retreats, and other calendared events.
  • Executive Support:
  • Maintain confidentiality of matters concerning the Executive Office.
  • Manage executive calendars by being the point of contact for internal and external meeting requests, and support meeting logistics as requested.
  • Independently compose complex and detailed correspondence for executives, and respond to routine and complex inquiries, both verbal and written, using in-depth PV knowledge, business acumen/functional knowledge.
  • Utilize intermediate to advanced Word, Excel, PowerPoint, and/or other software applications as needed.
  • Assist in research, preparation, and written documentation for special projects, presentations, and meetings as assigned.
  • General Administrative Support:
  • Provide quality customer service to guests and respond to questions and requests for information.
  • Perform general reception tasks, including answering and directing phone calls and relaying messages when necessary.
  • Generate email, correspondence memos, collateral packets, letters, and faxes.
  • Sort and distribute mail to respective departments and process outgoing mail.
  • Maintain all supplies and orders for new and additional materials.
  • Perform general office management and organization.
  • Assist in creating a new filing protocol for all PV documents.
  • Perform general asset management administrative tasks, including government filings paperwork.
  • Perform general finance administrative tasks, including processing checks (printing, scanning, getting signatures, mailing), making bank deposits, and scanning and organizing documents.
  • Manage the PV Amazon, Staples, Fedex and other large vendor accounts.

PREFERRED QUALIFICATIONS

  • Current Notary or willingness to become a Notary.
  • Proficiency in Microsoft Office suite and Microsoft Teams.

MINIMUM QUALIFICATIONS

  • Bachelor's degree.
  • Three (3) to five (5) years related experience including Board administrative management.
  • Or equivalent combination of experience and education

MANDATORY REQUIREMENTS
Regardless of qualifications, candidates must:

  • Have employment eligibility verification
  • Have or be able and willing to obtain CPR/First Aid training
  • Successfully complete the following as a condition of hire:
    • Tuberculosis Test
    • Background Screening
    • Drug Test

Driving is an essential function of this position. To meet the employment requirements for this role, all candidates must:

  • Have reliable transportation
  • A valid driver's license
  • Proof of insurance and ownership for personal vehicles used during work duties
  • The ability to qualify for PATH's insurance coverage
