Reporting to the Benefits Manager, the HR Leave Administrator role will be responsible for administering and managing teammate leave requests, ensuring compliance with company policies and relevant federal and state regulations. The role will serve as the primary point of contact for teammates seeking leaves of absence, guiding them through the process and providing support and assistance as needed. Additionally, the role will collaborate with other Talent/HR teammates, managers, and external vendors to coordinate and administer diverse types of leaves, including but not limited to FMLA (Family and Medical Leave Act), ADA (Americans with Disabilities Act) accommodations, parental leave, military leave, and other personal or medical leaves.
Leave Administration:
  • Process and manage all types of leave requests, including FMLA, ADA accommodations, parental leave, military leave, personal leave, etc.
  • Review and evaluate leave requests to determine eligibility and compliance with company policies and legal requirements.
  • Communicate leave decisions to teammates and provide guidance on leave entitlements, rights, and responsibilities.
  • Maintain accurate and confidential leave records, documentation, and correspondence.
  • Maintain consistent communication with Leave Third Party Administrator Vendor. Provide pertinent demographic information per Vendor’s request in a timely manner.
Teammate Support:
  • Serve as the main point of contact for teammates requesting leaves of absence, providing timely and accurate information, guidance, and support throughout the leave process.
  • Address teammate inquiries and concerns related to leave policies, procedures, and entitlements.
  • Collaborate with managers and Talent/HR business partners to facilitate smooth transitions for teammates returning from leave.
Compliance and Reporting:
  • Stay updated on federal, state, and local regulations governing leaves of absence, including FMLA, ADA, and other relevant laws.
  • Ensure compliance with company policies and legal requirements in administering leaves of absence.
  • Generate reports and analyze leave data to identify trends, patterns, and areas for improvement.
Process Improvement:
  • Identify opportunities to streamline leave processes, enhance efficiency, and improve the teammate experience.
  • Participate in the development and implementation of leave-related policies
Competency (knowledge, skills, and abilities):
  • Complies with organizational policies, procedures, performance improvement initiatives and maintains organizational and industry policies regarding confidentiality.
  • Adhere to all applicable HIPAA (Health Insurance Portability and Accountability Act) and 42 CFR Part 2 guidelines to ensure confidentiality of patient information.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Requirements & Qualifications:
  • Bachelor's degree business administration, or a related field
  • Three (3) years of experience in HR (Human Resources), with a focus on leave administration
  • In-depth knowledge of federal and state regulations governing leaves of absence, including FMLA and ADA.
  • Strong understanding of HR best practices and principles.
Preferred education and experience:
  • Bachelor's degree in human resources
  • Professional in Human Resources (PHR)
  • Society of Human Resources Management Certified Professional (SHMP – CP)
  • Certified Leave Management Specialist (CLMS) certification.
Travel:
  • Must possess a current valid driver’s license in good standing in state of employment and be insurable by the designated carrier. This role is required to drive for company purposes.
  • Travel up to 10% may be required to conduct site visits, attend meetings and conferences.
