The HR Services Specialist will play an important role in all employee-facing HR functions, ensuring seamless and positive employee experiences. As a valued member of the HR team, you'll spearhead the HR services function and be a trusted employee coach and adviser. You’ll manage benefits and leave administration, HRIS/ATS systems, and the onboarding and offboarding processes while performing a wide range of daily tasks and identifying opportunities for continuous improvement.

This is in in-office position located at our Jacksonville, FL headquarters.

Duties & Responsibilities
  • Act as the primary contact for HR service-related functions, handling a variety of employee-facing HR functions while championing positive employee experiences.
  • Provide superior HR services to employees, ensuring exceptional support and a positive experience throughout all HR interactions.
  • Serve as the subject matter expert (SME) for employee benefits, ensuring compliance with all applicable laws and regulations.
  • Manage the annual benefits open enrollment process, including planning, communication, and education, ensuring all employees are informed about their options, able to make necessary benefit elections and changes, and have all their questions addressed promptly.
  • Handle leave administration by tracking leave balances, processing requests, and updating managers on employee leave statuses.
  • Assist in the recruitment process, including posting job openings, screening candidates, scheduling interviews, and training new managers on the applicant tracking system.
  • Identify and implement continuous improvements in the recruitment and onboarding process, ensuring a seamless experience for new hires from job posting to their first day.
  • Coordinate employee onboarding and offboarding, conducting orientation sessions, and exit interviews to gather feedback.
  • Address and resolve employee questions and concerns related to HR policies and procedures, ensuring employees feel supported and informed.
  • Be a trusted employee coach and adviser, attentively listening to concerns, providing timely responses, and escalating unresolved issues to the HR Director.
  • Ensure all employee files are up to date, securely stored to maintain confidentiality, and regularly audited to meet company policies and legal requirements.
  • Manage bi-weekly timesheet approvals, ensuring timely and accurate submission and processing by supervisors and managers.
  • Develop and implement employee engagement initiatives to foster a positive workplace environment.
  • Conduct regular audits of HR processes and procedures to ensure compliance with company policies and legal regulations.
  • Manage HRIS/ATS systems, conduct audits, and ensure accurate data inputs.
  • Prepare and submit detailed monthly HR reports, covering various aspects of HR activities.
  • Create and maintain documented Standard Operating Procedures (SOPs) for HR service-related functions to ensure consistency and efficiency.
  • Collaborate with other HR team members to ensure smooth operation of HR services and address any issues that arise.
  • Performs other duties as assigned.

Skills & Qualifications
  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • Proven experience in HR specialist or a similar role, with a minimum of 2 years of professional HR experience.
  • Strong knowledge of HR policies, procedures, and best practices
  • Demonstrated experience with benefits administration.
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication skills.
  • Ability to maintain confidentiality and handle sensitive information with strong attention to detail.
  • Proficiency with HRIS systems and Microsoft Office Suite, including Excel.
  • Demonstrated ability to manage multiple projects and priorities simultaneously.
  • Experience in developing and implementing HR strategies and programs.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and ethical standards.
  • Proven ability to build and maintain effective working relationships across all levels of an organization.
  • Exceptional attention to detail in all tasks and responsibilities.
  • Possess a strong passion for providing positive employee experiences.
  • Demonstrated empathy and understanding towards employee concerns and needs.
