Job DescriptionJob Description

Job Summary: The HR/Payroll Coordinator facilitates the processes that support various functional areas within Human Resources, with a direct concentration in supporting Payroll processes.

Duties/Responsibilities:

Human Resources Support:

  • Records employee status updates, such as change of address, departmental transfers, rate increases and terminations, in the HR Information Systems.
  • Ensures Payroll receives changes to employee status and monitors accuracy of payroll.
  • Publishes new job listings to internal and external job boards.
  • Schedules interviews with hiring managers and candidates.
  • Coordinates background screening, and pre-employment physical exams appointments for chosen candidates.
  • Organizes the new hire and onboarding processes, including review of company policies, collection and processing of new hire paperwork, and completion of orientation.
  • Oversees employee evaluations, including meeting coordination, performance review finalization, and follow-up with supervisors.
  • Receives and addresses employee questions regarding company policies, procedures, and benefit plans.
  • Performs reconciliation of monthly benefit invoices.
  • Assists with FMLA administration.
  • Enters all work-related injury reports in web portal and assists Safety/Facilities with Monthly and annual OSHA reporting.
  • May coordinate recruitment events such as job fairs and open houses.
  • Various administrative support duties as assigned.

Payroll Support:

  • Responsible for verifying and preparing the weekly payroll files and submitting to the HR Director for final approval.
  • Prepares standard payroll reports for accounting and third-party vendors.
  • Replies to employee questions and resolves issues that arise.
  • Assists with audits.
  • Handles unemployment paperwork.
  • Ensures paid time off balances are accurate and updated in a timely manner.
  • Assist with all HRIS system upgrades and trains users as needed.
  • Assist with quarterly and year-end reconciliations.
  • Various administrative support duties as assigned.

Key Skills Required:

  • Detail and deadline driven.
  • Problem-solver and continuous improvement mindset.
  • Clear and concise communication verbally and written.

Education and Experience:

  • Bachelor’s degree in related field preferred.
  • Experience working in Human Resources with some payroll experience required.
  • Experience with HRIS/Payroll software. ADP Workforcenow and Workforce Manager preferred.

Physical Requirements:

  • Must be able to lift 15 pounds at times.
  • Must be able and willing to work in a fast-paced environment.
  • Prolonged periods sitting at a desk and working on a computer.
