Job Summary: The Event Assistant will work closely with the Event Coordinator and other team members to ensure the smooth execution of events. This role involves a variety of tasks, including administrative duties, on-site event support, and post-event follow-up. The ideal candidate is highly organized, proactive, and has excellent communication skills.

Key Responsibilities:

  1. Event Planning Support:

    • Assist in the development and execution of event plans and timelines.
    • Coordinate with vendors, suppliers, and venues to secure necessary services and materials.
    • Prepare and distribute event-related documents, such as invitations, schedules, and contracts.

  2. Administrative Duties:

    • Maintain event databases and contact lists.
    • Handle event-related correspondence and inquiries.
    • Manage event-related expenses and assist with budget tracking.

  3. On-Site Event Support:

    • Assist with event setup and teardown, ensuring all elements are in place and functioning.
    • Provide on-site support during events, including registration, guest assistance, and troubleshooting.
    • Ensure the smooth operation of all event activities according to the plan.

  4. Post-Event Activities:

    • Conduct post-event evaluations to gather feedback and identify areas for improvement.
    • Assist in the preparation of post-event reports and documentation.
    • Send out thank-you notes and follow-up communications to attendees and partners.

  5. Miscellaneous:

    • Stay updated on industry trends and best practices.
    • Perform other duties as assigned by the Event Coordinator or management.

Qualifications:

  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work flexible hours, including evenings and weekends, as needed.
