  • Maintains operational procedures relative to office clerical activities and workflow in and out of the Department.
  • Performs data entry for daily invoicing and inspection personnel training programs. Processes pre-review and price verification of customer job for executive approval.
  • Composes effective and accurate correspondence; deals with non-routine matters, such as special projects. Assumes responsibility, organizes workflow, maintains filing systems and records; organizes and assembles data and prepares accurate reports, summaries, and tabulations from such data; ability to work independently in carrying out assignments.
  • Assembles materials from files and records for use in preparing reports, answering correspondence and inquiries, and carrying out various office functions. Drafts, types, reviews, and proofs correspondence; and as directed. Composes and types responses to office correspondence. Drafts financial, statistical, narrative, and/or other reports as directed.
  • As directed, communicates with customers regarding jobs, accounts, etcetera.
  • Reviews individual accounts payable invoices for accuracy, assigns vendor numbers, and verifies the purchasing procedure to include correct accounting code.
  • Assists in the day-to-day procurement functions of the Company. Assures that purchasing documents are properly completed. Assures that department records are maintained and that purchases are followed up or expedited when required.
  • Functions as receptionist; ability to efficiently carry out all receptionist duties.
  • Functions as back up to shipping & receiving clerk position; ability to efficiently carry out all incoming and outgoing shipping duties.
  • Processes materials necessary for meetings; takes and transcribes notes at meetings. Coordinates meetings, conferences, and appointments for supervisor and advises of same.
  • Organizes and maintains training manuals, reference library, multimedia visual aids, and other educational materials.
  • Assists in the production, processing, and record maintenance of outgoing mail.
