Description
WCLLC seeks a motivated Coordinator/Logistics Specialist dedicated to providing crucial administrative and logistics support to a federal agency.
Duties and Responsibilities
- Coordinate and schedule meetings, conference calls and other project-related activities.
- Act as the central point of contact for project related inquiries, assisting in issue resolution.
- Assist in developing and maintaining project plans and timelines.
- Prepare and distribute project reports and status updates to stakeholders and management.
- Maintain project deliverables schedule, risk log, action item log, and performance metrics.
- Provide administrative assistance for internal meetings.
- Document meeting minutes and discussion outcomes, ensuring completion of action items.
- Perform other duties as assigned.
Qualifications and Experience
- A./B.S. degree in Business Administration, Project Management, or related field.
- 5+ years of proven experience in project coordination or related roles.
- Familiarity with CMS CMMI preferred; knowledge of healthcare industry standards and regulations a plus.
- Previous client collaboration experience.
- Develop, manage, execute, and support in-person and virtual stakeholder meetings.
- Set up meeting room if in-person or platform for virtual meetings, develop meeting reports and logistics for travel.
- Develop meeting materials, develop and support meeting content and facilitate the meeting.
- Execute travel reimbursement processes for event attendees, ensuring compliance with government policies and manage reimbursement documentation and facilitate timely payments.
- Must be highly detail oriented with the ability to pivot to meet emerging needs.
- Strong attention to detail, organization, and efficient time management
- Proficient with MS Office (Word, Excel, PowerPoint, Outlook, Visio, Project) and Adobe.
- Must demonstrate professionalism and a positive work ethic in all situations.
- Exceptional communication, interpersonal, and collaboration skills.
