Role Summary
Senior or lead performance level administrative, technical, and secretarial work. Supports one or more executive administrators. Provide clerical/secretarial support; organize and perform assigned duties/activities; maintain unit records; perform tasks of a non-routine and technical nature involving some decision-making.
Education (Minimum)
H.S. diploma or GED
Related Experience
- 3 years of progressively responsible experience performing general office and secretarial duties involving customer service.
- Invoice processing experience
- Document filing and archiving experience
- Supply ordering experience
Required Knowledge
Basic knowledge of mathematical computations and techniques needed to collect, organize, and report information/data in a narrative or statistical format; working knowledge of standard budgeting and accounting systems; personal computer hardware and office software; Microsoft Office suite, financial (ERP) software; Workday, Banner, etc.
Qualifications:
- Effective written and oral communication skills and ease in relating to people from varying educational, cultural, and social backgrounds.
- Act as a liaison between administrator and department/office staff, other College staff, outside organizations, and others.
- Maintain/update databases and/or tracking systems for files, correspondence, or issues requiring immediate attention and follow-up.
- Research files and records compile data, memos, notes, and weekly, monthly, and annual reports for supervisory review and/or signature.
- Effective time management skills
Job Responsibilities:
- Manage office functions, prioritize tasks.
- Perform a wide variety of complex administrative support duties.
- Responsibilities can vary in complexity from routine to projects requiring significant research and analysis.
- Provide support for processes, communications, meetings, and other related activities.
- Oversee department budget, order supplies for the office, process related invoices.
