Job Description:
We are seeking a dedicated Safety Administrative Assistant to join our team. The ideal candidate will be fluent in English and either Portuguese or Spanish. This position requires excellent organizational skills, attention to detail, and the ability to communicate effectively with a diverse team. The Safety Administrative Assistant will support our safety initiatives across all our locations.

Performance Objectives:
  • Safety Compliance: Ensure full compliance with safety regulations and company policies across all locations, evidenced by zero safety violations and incidents within the reporting period. Assist the Safety/Service Coordinator in providing safety training, inspections, and programs to ensure OSHA compliance and employee safety and assist with service requests
  • Training and Certification: Achieve CPR, First Aid, and OSHA certifications within the first three months of employment, enhancing safety readiness and preparedness.
  • Administrative Efficiency: Improve administrative processes by implementing streamlined filing systems and reducing administrative errors by 20% within the first six months.
  • Safety Training: Regularly facilitate employee safety training sessions, ensuring 100% attendance and comprehension of safety protocols.
  • Incident Response: Demonstrate swift and effective response to safety incidents, resulting in a 30% reduction in incident resolution time within the first year.
  • Safety Equipment Maintenance: Ensure all safety equipment is regularly inspected, maintained, and replaced as necessary, reducing equipment-related incidents by 15% within the first year.
  • Communication Effectiveness: Enhance communication channels for safety-related information, resulting in a 25% increase in employee awareness and engagement with safety initiatives.
  • Safety Audits: Conduct quarterly thorough safety audits at all locations, proactively identifying and addressing potential hazards to maintain a safe work environment.
  • Continuous Improvement: Implement at least two new safety initiatives annually to improve workplace safety and foster a culture of safety within the organization.
  • Assist the Safety/Service Coordinator with record keeping, scheduling, and other various administrative tasks.
  • Assess equipment and machinery to ensure they are in safe working order.
  • Coordinator on-site inspections as set forth by OSHA regulations to audit physical conditions and safe work practices
  • Coordinate with management and department heads to ensure safe work practices are enforced.
  • Perform other tasks as assigned.
Key Competencies:
  • Language Proficiency: Fluency in English and either Portuguese or Spanish.
  • Physical Capability: Ability to lift 50 lbs and assist with safety equipment setup.
  • Adaptability: Flexibility to adjust to changing priorities and work schedules.
  • Problem-Solving: Ability to identify safety issues and propose solutions.
  • Attention to Safety: Commitment to prioritizing safety in all tasks.
  • Customer Service Orientation: Ability to address safety inquiries courteously.
  • Team Collaboration: Actively participate in cross-functional safety committees or teams, contributing valuable insights and collaborating effectively with colleagues to achieve shared safety objectives.
Certifications:
  • CPR and First Aid Certification: Preference will be given to CPR and First Aid-certified candidates.
  • OSHA Certification: We will prefer candidates with OSHA certification.
Qualifications:
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Proficiency in Google Suite and MS Office (Word and Excel).
  • Prior administrative experience is preferred.
  • Flexibility to adapt to changing priorities and work schedules.
