The Administrative Assistant is essential in facilitating smooth operations within the sales department. Responsible for sales order data entry, paperwork preparation, and providing crucial support to both customers and internal sales teams. This position requires strong organizational skills, attention to detail, and effective communication abilities.


Key Responsibilities include but not limited to:


  • Enter sales orders accurately and efficiently into the system.
  • Prepare paperwork for production, including printing paperwork and labels.
  • Electronically file purchase orders, correspondence, and other documents related to sales orders.
  • Communicate order confirmations promptly with customers and sales managers.
  • Follow up on pending purchase orders and request payments from prepay customers.
  • Provide phone and email support for customer inquiries regarding projected ship dates, tracking information, and change order requests.
  • Manage change orders, rush orders, shipping instructions, and substitutions, and communicate them to the sales coordinator and sales manager.
  • Handle sample package orders and process sample requests from marketing.
  • Gain product knowledge through interactions with various departments such as sales, production, purchasing, and tech support.
  • Understand product divisions, hardware, and installation processes by mastering reading drawings, BOMs, and production steps.
  • Provide backup support for incoming calls and cover breaks/lunches to maintain uninterrupted phone coverage.
  • Prioritize daily tasks to meet deadlines and maintain consistent workflow to production.
  • Provide support to outside sales managers during the absence of the sales coordinator, including reviewing incoming orders, verifying payment terms, and clarifying details with the sales manager before proceeding with data entry.
  • Adhere to communication procedures, guidelines, and policies.

Skills & Qualifications:


  • High school diploma or GED equivalent preferred.
  • Proven customer support experience.
  • Proficiency in computer and keyboard skills.
  • Excellent communication skills, both written and verbal in English.
  • Ability to multitask, prioritize, and manage time effectively.
  • Accuracy and attention to detail.
  • Ability to work under pressure and meet deadlines.
  • Ability to work independently and as part of a team.
  • Good administrative skills.
  • Strong numerical abilities.

Working Hours: 8:00am-5:00pm
