Temporary Data Entry Clerk

The United Farm Workers (UFW) is seeking a part-time, temporary, Data Entry Clerk at our Keene, California National Headquarters office. The hours are Monday through Friday, 9 a.m. to 5 p.m., the duration of the assignment is for approximately 3-4 months. The Data Entry Clerk provides data entry and basic general clerical support involving coding, data entry, ensuring database integrity and accuracy, and operating office equipment and proprietary software. Handles acknowledgments of special donors, responds to correspondence received by letter, telephone or e-mail, fulfills donor premiums, follows up on donor payment issues. May use stamp machine to generate postage. May pick up and deliver mail.
KEY DUTIES AND RESPONSIBILITIES
Data Entry
- Sort mail by picture and package code
- Open mail
- Remove envelope contents;
- Code correspondence and donor information;
- Separate cash and credit transactions.
- Input, validate, balance and post
- Update database to ensure donor preferences.
- Note high dollar donors Fulfill premium requests
- Sort documents to be shredded
- Operate Shredder
- Database hygiene
Customer Service
- Responds to donor questions by letter, telephone, fax or e-mail. Handle premium fulfillment. Select form letters to:
- Acknowledge large gifts
- Request updates to expired and declined credit cards and other payment problems
- Follow up on planned giving calls
- Recognize honor/memorial/estate gifts
- Recognize monthly donors
- Send condolences
- Send birthday greetings to selected donors
Mailroom
Use postage machine to support mailing and shipping operations of the UFW. Process mail items from various departments to the post office and delivery services. Assist clients with preparation of materials and documentation for shipping and/or mailing.
Pick up and deliver mail as requested to US Post Office in Keene with personal vehicle. Sorts and places incoming mail into appropriate mail boxes.
Store
Answer phone and email and respond to customer concerns. Place online orders for customers who don’t have the ability to do it themselves or guide them through the process. Assist with merchandise sales.
QUALIFICATIONS FOR THIS POSITION
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High School diploma or general education degree (GED) and three months related experience and/or training; or equivalent combination of education and experience. Computer experience required.
Knowledge of packaging, mailing and shipping for US Mail and UPS. Functionality in Microsoft Word, Excel, and Outlook, Acumatica and Raiser’s Edge and the internet are required.
Ability to type at a rate of no less than thirty-five (35) net words per minute (NWPM).
Must have valid CA drivers’ license and personal automobile with auto insurance.
