Purchasing Coordinator

SUMMARY DESCRIPTION
The Purchasing Coordinator is primarily responsible as the interface for Purchasing and Sales for the launch of new business and new customer product development. They are to collaborate with Sales, within Supply Chain, and with the Purchasing Buyers to ensure timely product delivery that meets both internal requisition and regulatory requirements. In addition, the Purchasing Coordinator may be asked to assist in the sourcing and procurement of MRO items, chemicals and/or packaging. The Purchasing Coordinator operates under the direction of the Purchasing Manager.
PERFORMANCE EXPECTATIONS
Maintain positive supplier relationships.
- Assist in creating and maintaining a positive work environment.
- Create and maintain open communication channels.
- Communicate late shipments and other supplier challenges.
- Create and maintain MRO Catalog for frequently purchased items.
- Maintain all system data for suppliers and parts, to include cost changes and lead-times.
- Maintain the Open Purchase order report.
- Manage respective suppliers’ on-time performance
- Maintains data base of new business projects and tracks to support on-time start of ships per approved customer ship dates.
- Ensuring Purchasing Manager is informed of upcoming projects and details to escalate any issues that arise. Alignment for the communication plan of any risk and/or delay to expected timelines.
DIMENSIONS, TASKS AND ESSENTIAL FUNCTIONS
- Assist with the sourcing and set-up of new suppliers for identified materials and services.
- Source, track and manage samples from suppliers.
- Request quotes, minimums and lead times for items considered for purchase.
- Follow-up with suppliers to ensure committed delivery schedules are met.
- Request material specifications, COAs, MSDS and all other requested documents.
- Assist buyers with the tracking of cost-savings and other key metrics.
- Address quality concerns, short ships and damages for all incoming shipments.
- Sales interface for all New Business - Raw Material Samples, Packaging Sourcing,
- Assist Purchasing manager in all new business Costing Sheet requests.
- Support purchasing manager in the identification of new suppliers.
MEETING PARTICIPATION
Purchasing Department Team meeting
One-on-One meetings with Purchasing Manager
Weekly Sales updates for new business progress
Other meetings as requested
AUTHORITY
This position reports to the Purchasing Manager.
SUPERVISORY RESPONSIBILITY
This position is not a managerial role and does not have any supervisory responsibilities.
CLASSIFICATION
This is a full-time, non-exempt role.
EDUCATION
College degree in business, purchasing, or related field, or equivalent experience.
WORK EXPERIENCE
Experience working in a GMP environment preferred
Excellent written and verbal communication skills
Strong problem solving abilities
3+ years’ experience in the purchasing & manufacturing industry preferred
OTHER QUALIFICATIONS
Good human relations and oral/written communication skills
Computer proficiency in Microsoft Office programs
Demonstrated ability to learn, follow and help refine procedures with minimal oversight
Strong analytical / problem solving skills
Self-starter with willingness to expand expertise and skill base
Ability to handle multiple projects concurrently
