Valeo is in search of a positive and service-oriented Operations Assistant to support the complex administrative needs of our headquarters in Carmel, Indiana. This position includes a blend of general office administration and receptionist duties to ensure efficient daily operations. This position requires consistent in-office attendance.

Responsibilities:

  • Serve as the “Director of First Impressions” by greeting all clients and guests and maintaining conference rooms and other related public areas.
  • Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly.
  • Manage the daily office calendar and coordinate meetings for clients, prospects, strategic partners, internal stakeholders, etc.
  • Ensure the office is well-stocked with necessary supplies, coordinate deliveries, and communicate with vendors as appropriate for productive operations.
  • Process incoming checks, mail, and client legal documents by reviewing for accuracy, correctly logging, and distributing to the relevant parties.
  • Filing and organizing records, invoices, and other important documentation.
  • Develop and closely follow appropriate standard operating procedures to ensure compliance with applicable regulatory requirements and corporate quality standards.
  • Manage complex office administrative work requiring the use of independent judgment and initiative.
  • This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities that management may deem necessary from time to time.

Qualifications:

  • 3+ years of administrative support or equivalent experience in a professional environment required. Prior experience in the finance industry preferred.
  • High school diploma required; higher-level education preferred.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and database management. Experience working with a CRM system preferred.
  • Possess extremely high attention to detail and discretion when dealing with sensitive and confidential corporate and client information.
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders.
  • Passionate about the client/guest experience with strong organization and time management skills.
