Overview:
We are seeking a highly skilled and proactive Operations Administrative/Project Assistant to provide comprehensive support to our leadership team and facilitate the smooth operation of the day to day and multiple high-impact projects and assignments. The ideal candidate will possess exceptional organizational and communication skills, exhibit a high degree of professionalism, and demonstrate a keen ability to manage multiple tasks efficiently. This role is critical in ensuring the effective execution of strategic initiatives and daily operations.


Key Responsibilities:


1. Administrative Support:

     o Calendar Management: Schedule and coordinate executive meetings, appointments, and travel
         arrangements. Prioritize and manage executive calendars to optimize their time.
     o Communication: Handle high-level correspondence, including drafting, proofreading, and editing
        emails, reports, and presentations. Serve as a liaison between the executive team and
        internal/external stakeholders.
     o Meeting Coordination: Organize and prepare for executive meetings, including preparing agendas,
        gathering documents and recording minutes. Follow up on action items and ensure timely completion.
     o Confidentiality: Maintain strict confidentiality regarding sensitive information and executive
        matters.
2. Management Support:
     o Project Coordination: Assist in planning, executing, and monitoring strategic projects. Track
        project milestones, deliverables, and deadlines to ensure timely completion.
     o Documentation: Prepare and manage project documentation, including project plans, status
        reports, and presentation materials. Ensure all documentation is accurate and organized.
     o Stakeholder Communication: Facilitate communication with project stakeholders, including
        scheduling meetings, providing updates, and addressing inquiries.
     o Problem-Solving: Assist in identifying and resolving project issues and risks.

        Propose solutions and alternatives to keep projects on track

3. Operational Support:
     o Process Improvement: Contribute to the development and implementation of operational processes

        and procedures to enhance efficiency and effectiveness.
     o Data Management: Collect, analyze, and interpret data related to operations and projects.

        Prepare reports and presentations for executive review.
     o Event Coordination: Plan and coordinate high-profile company events, including conferences, workshops, and team-building activities.
4. Strategic Support:
     o Research and Analysis: Conduct research and gather information to support strategic decision-making. Prepare summaries and                        recommendations based on findings.
     o Special Projects: Assist with special projects and initiatives as assigned by the executive team. Provide administrative support and project            management expertise as needed.
5. Additional Duties:
     o Office Management: Oversee office supplies inventory, manage office equipment, and ensure a
        well-organized and efficient office environment.
     o Team Collaboration: Foster positive relationships with colleagues, clients, and vendors. Support
        team members in achieving departmental goals.


Qualifications:
     • Education: Business Administration, Management, or a related field preferred.
     • Experience: 4+ years of experience in an executive administrative or project coordination
         role, preferably supporting senior executives.


Skills:
     o Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with
        project management software.
     o Proficiency in QuickBooks Desktop and QuickBooks Online software REQUIRED.
     o Strong organizational and time-management skills with the ability to handle multiple tasks and
        priorities in a fast-paced environment.
     o Exceptional verbal and written communication skills, with a high level of attention to detail.
     o Ability to maintain confidentiality and handle sensitive information with discretion.
     o Demonstrated problem-solving and analytical skills with a proactive approach to tasks and
        projects.
