PATH is seeking candidates passionate about helping others make a positive change in their lives to join our Administration team as the Director, Administration & Campus Operations at the RHC office.

ABOUT PATH
Since its foundation in 1984, PATH (People Assisting The Homeless) has pioneered bold and effective approaches to assist people experiencing homelessness. PATH operates services throughout California, connecting our clients to a comprehensive continuum of homelessness prevention, street outreach, employment preparation and placement assistance, individualized case management, supportive services, interim housing, and permanent supportive housing.

ABOUT THE JOB
As part of the Administration team, the Director, Administration & Campus Operations is responsible for facilitating the efficient and successful operations of the PATH Metro LA Hub concerning its administrative and operational services. The Director works collaboratively with PATH's leadership team and campus community members to formulate policies and procedures to ensure the effective operation of the campus. The Director manages and oversees the campus' day-to-day administrative services and serves as the primary point of contact for the campus. In collaboration and consultation with the relevant PATH leaders, property management, and partnering agencies onsite, the Director advises in the areas of safety and security, facilities, client services, events, and visitor relations.

Position Responsibilities include:

  • Work closely with internal partners on campus operations such as Operations & Facilities, Property Management, Onsite Program Services, Onsite Housing, Administration, HR, Finance, External Affairs, IT, QAC, PATH Ventures & Partners, Executives, and Onsite External Businesses.
  • Build relationships, systems, and an operational rhythm that exemplifies PATH's values.
  • Develop, implement, and manage systems, activities, and processes that ensure a positive staff and visitor experience. Be an ambassador of the overall campus experience for all employees, clients, and visitors ensuring PATH's values and inclusive culture are translated into a welcoming and engaging campus.
  • Coordinate with internal teams to deliver continuous, consistent communications throughout the site.
  • Co-develop with department leads a campus operations program around the welcome center and reception, parking, health and safety, event management, onsite storage management, program service engagement, and administrative support to onsite departments.
  • Engage with all campus stakeholders to assess the administrative services provided, communicate issues, concerns and needs to the senior leadership team and advocate for the interests of the campus consistent with the goals of PATH as senior leadership.
  • Build strong relationships with property management, operations, and facilities teams to ensure service, maintenance, and cleanliness of the campus.
  • Develop and maintain management of campus facilities, equipment, and assets to ensure that the physical space and resources meet the needs of staff, clients, and visitors.
  • Develop and maintain a calendar of events and activities and ensure awareness and coordination among onsite departments.
  • Organize and coordinate weekly schedules and meetings to support campus operations, coverage, and accommodations.
  • Lead and manage the security efforts on the campus in coordination with the contracted guard company and post commander to ensure campus safety, incident response, and implementation of enhanced security measures.
  • Provide daily communication and weekly de-briefings with contracted guard company Post Commander
  • Provide on-call response to emergencies and escalate to executive leadership as needed
  • Provide scheduled re-caps of security highlights to executive leadership
  • Develop and conduct trainings for contracted guard company and PATH staff as needed
  • Evaluate and coordinate updates to post orders with contracted guard company
  • Communicate and respond via campus meetings with internal and external partners security related issues and provide follow-ups, solutions, and action plans. Address issues with urgency. Collaborate with other necessary leaders as needed.
  • Implement and maintain security related incident reporting processes and system
  • Develop internal policies and procedures to aid in the management of security operations
  • Work with the program services team to ensure staff and clients can utilize the campus spaces effectively for meetings, service delivery, and support. Support the welcome center and reception desk with strategies for effective communication, policy adherence, and troubleshooting incidents as they arise.
  • Collaborate with program management to ensure support for onsite services to gather feedback and ensure continuous quality improvement.
  • Liaise and manage the portfolio of contracts with onsite external businesses (such as Gateways and JWCH) and execute changes to agreements and enhancements in partnership.
  • Maintain accurate reporting for campus foot traffic, visitor relations and inquiries.
  • Ensure mass communications across the campus with current rosters that can be shared across team. Work with departments to send timely announcements and communications.
  • Organize onsite vendor and partners services to include fairs, drives, clinics, etc. Ensuring campus wide participation and planning.
  • Respond to stakeholder inquiries, routine questions, requests for service, and complaints via phone, e-mail, or in person; follow through on resolving problems.
  • Use critical thinking, reasoning, and prioritization to address a wide range of unique problems and interactions with staff, leadership, staff, and external stakeholders.
  • Facilitate meetings and lead discussions to promote a proactive approach to ensuring deliverables, timelines, and performance indicators are met.
  • As the campus liaison to the senior leadership team, inform senior leadership of both strategic and emerging administrative issues for appropriate direction.
  • Proactively communicate with the CCAO and senior leadership to inform them of campus initiatives and plans that may impact operations so the implications of those changes can be worked through in a timely manner.
  • Lead the site-based administrative team. Plan, organize, direct, and review the work of supervisors and staff within the administration department.
  • Responsible for office operations, streamlining administrative procedures, office staff supervision, and overall support to the administrative support departments.
  • Identify, analyze, and recommend short- and long-range goals and objectives and work to develop appropriate policies and strategies for implementing them.
  • Responsible for financial management, analysis, and budget for the administration department; guide analysis related to expenses, activity participation, and staffing levels.
  • Draft and review a wide variety of documents, including, but not limited to, correspondence, reports, policies and procedures and advertisements

PREFERRED QUALIFICATIONS

  • Master's degree in related field

MINIMUM QUALIFICATIONS

  • Bachelor's degree in a related field.
  • Minimum of five or more years of experience in progressively responsible, relevant administrative, operations, and or coordination services
  • OR an equivalent combination of education and/or experience

MANDATORY REQUIREMENTS

  • Successfully complete the following as a condition of hire:

DRIVING
Driving is an essential function of this position. To meet the employment requirements for this role, all candidates must:

  • Have reliable transportation
  • A valid driver's license
  • Proof of insurance and ownership for personal vehicles used during work duties
  • The ability to qualify for PATH's insurance coverage
