Overall Job Description:

The Dental Front Office is the first point of contact for patients and visitors, representing the dental practice's image and values. They are responsible for managing the front desk operations, appointment scheduling, patient communication, and providing excellent customer service.

Requirements:

- High school diploma or equivalent required; additional education or certification in office administration or related field is a plus.

- At least 2 yrs experience as a receptionist or in a customer service role

- At least 2 yrs of dental industry experience.

- Strong communication and interpersonal skills.

- Exceptional organizational abilities and attention to detail.

- Proficient in using dental software and standard office software (e.g., MS Office).

- Ability to handle multiple tasks simultaneously and adapt to a fast-paced environment.

- Knowledge of dental terminology, procedures, and insurance protocols.

- Eaglesoft experience is a plus.

Essential Functions:

Patient Reception:

- Greet patients with a friendly and welcoming demeanor, making them feel comfortable and at ease.

- Efficiently handle patient registration, check-ins, and check-outs.

Appointment Scheduling:

- Manage the appointment schedule, ensuring optimal utilization of time and resources.

- Schedule appointments, follow-ups, and consultations, coordinating with dental staff.

Communication and Customer Service:

- Answer phone calls, emails, and inquiries, providing information and assistance promptly and professionally.

- Handle patient concerns and complaints with empathy and strive to resolve issues to ensure patient satisfaction.

Records Management:

- Maintain and update patient records, ensuring accuracy and compliance with confidentiality standards.

- Manage patient files and paperwork, both in physical and electronic formats.

Billing and Insurance Verification:

- Verify insurance coverage and process insurance claims accurately.

- Assist patients with billing inquiries and facilitate payment transactions.

Administrative Support:

- Assist with administrative tasks, including managing office supplies, coordinating mail, and supporting staff as needed.

- Coordinate with dental assistants and hygienists to ensure smooth patient flow and efficient operations.

Physical Requirements:

- Ability to sit, stand, and walk for extended periods.

- Manual dexterity for operating office equipment and handling paperwork.

- Visual acuity for using computer screens and reading documents.

Work Environment:

- The work is typically performed in a dental office setting, with regular interaction with patients and dental staff.

- The environment may be fast-paced and involve occasional stressful situations, requiring effective multitasking and time management skills.
