Accounts Payable Specialist

Job Description

The Accounts Payable Specialists reports to the Controller and will be responsible for ensuring proper efficiencies applicable to all payables being managed, organized and paid in a timely fashion. This position will support and work with all levels of associates throughout the company ensuring their needs are met. This includes the support of the investors, associates and partners.

Essential Duties include the following (other duties may be assigned as necessary):

  • Manage weekly check runs

  • Prepare vendor checks for mailing

  • Maintain payables files

  • Review payable batches received for accuracy

  • Assist with accounting projects and research

  • Reconcile vendor statements

  • Assist in the annual preparation of Form 1099’s

  • Special projects and tasks as needed

  • Answer main company phone lines

  • Order office supplies as needed

Physical Demands:

The work is not physically demanding. Typically, the associate may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of moderate items such as papers, boxes, event items, collateral, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work. Specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment:

The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, or commercial vehicles. The work area is adequately lighted, heated, and ventilated, except when working on items outside of the office environment.


Qualifications:

Education and Experience Required

  • Minimum of 3 years of related experience

  • Real Estate experience preferred

  • Previous experience on accounting systems required

  • OneSite and Nexus experience preferred

Knowledge and Skills Required

  • Excellent data entry accuracy

  • Heavy communication skills – able to communicate at all levels

  • Provide excellent customer service both internally and externally

  • Detailed-oriented

  • Good organization skills

  • Good Time Management skills

  • Must be a team player and a self-starter
