Position Summary

We are seeking a very organized and driven Administrative HR Coordinator(Staffing) to join our growing division. You will play a crucial role in the support of the recruiters on the staffing team. You will assist the Director of Staffing and Recruiters with overall administrative support. The right candidate should be able to multi-task and prioritize in a fast-paced environment and enjoy the differences each day brings


Key Responsibilities

  • Support the Director of Staffing by reorganizing and streamlining department/training materials, scheduling meetings, preparing reports, and managing recruitment projects and other administrative tasks as needed (20%)
  • Support global partners and end clients with coordination of interviews, creating intriguing job descriptions, follow-ups with candidates and clients and other administrative tasks as needed (20%)
  • Support Recruiters with coordination of interviews (40%)
  • Assist Director with reporting such as weekly audit reports, recruiting metrics and ad hoc reports (10%)
  • Perform additional administrative and operational tasks as needed (10%)
  • Applicant Tracking System (ATS) Management: Maintain accurate and up-to-date candidate information in the ATS
  • Provide feedback and suggestions for improving recruitment processes, candidate and client experiences


Qualifications & Skills

  • 2-10 years of experience Administrative Assistant, Executive Assistant, Recruiting Coordinator or similar supporting fast-paced teams
  • Must have experience with high volume scheduling, familiar with scheduling in different time zones and some international
  • Experience supporting more several executives, CEO or similar internal team members
  • Experience sending calendar invites via outlook and scheduling zoom meetings
  • Familiar or interest with posting jobs and some knowledge with Linkedin
  • Comfortable and confident in communicating with candidates, stakeholders and internal team members
  • Must be proactive and able to go the extra mile to make to support the team
  • Demonstrate strong proactivity and forward-thinking by anticipating challenges and opportunities, and devising strategic plans to address them before they arise
  • Experience with an ATS and HubSpot, relevant ATS/CRM tools or has other systems knowledge and can pick up news systems quickly
  • Ability to troubleshoot, think creatively, multi-task, and work effectively in an ever changing, fast-paced environment.
  • Requires excellent organization skills; have a process in place to track tasks and projects to ensure completion.
  • Basic Excel experience; able to pull reports and use basic functions
  • Must have worked in a role that requires daily follow-ups, reminders and calendar management
  • Bonus: Experience with an ATS and HubSpot, relevant ATS/CRM tools or has other systems knowledge and can pick up news systems quickly
