We are looking for a Document Management Coordinator to join our Doral office. This is a temporary assignment for busy season projected to last into February 2025 and is onsite 5 days a week.
The Coordinator will provide crucial support to the Document Administration Manager in managing the Global HESS system and related tasks. This role is a complementary position to the Document Administration Manager, that focuses on specific areas of the system. The coordinator will play a crucial role in ensuring the smooth operation of the Global HESS system and related tasks.
Essential Functions:
- Assist in the creation and updating of documents within the HESS system.
- Help with creating and maintaining data relevant to the system.
- Develop and maintain dashboards as needed, providing visual representations of the system’s data.
- Provide necessary support to the Document Administration Manager in managing the Global HESS system
- Coordinate internal and external audits and collect passport details for auditors.
- Assist with procedure updates to SMEs and help draft communication emails to the fleet.
- Assist with weekly presentations.
- Assist with the creation of new user credentials in the system.
- Provide support in any other required areas as needed to ensure the smooth operation of the Document Admin Manage position.
Qualifications:
- High School Diploma or equivalent.
- Previous experience in hospitality preferred.
- Proficient in Microsoft Office Suite, PDF management, project management software, social media platforms, and other industry-specific tools.
- Communication & Listening Skills: Effectively conveys information, listens attentively, and fully understands instructions
- Manages time effectively, prioritizes tasks, and maintains excellent organizational skills.
- Accommodates varying work hours.
- Handles sensitive information with discretion.
- Comfortable working a temporary assignment.
- Comfortable working onsite in Doral.
The pay for this position is $30 an hour, paid every Friday.
