Leasing Administrator

Overview:

The Leasing Administrator plays a vital role in supporting the leasing team by ensuring seamless lease agreements, maintaining compliance, and fostering strong relationships with tenants and landlords. This position involves administrative duties related to property management and lease documentation, as well as providing exceptional customer service.

Key Responsibilities:

  • Lease Processing: Prepare, review, and manage lease agreements and related documents for tenants, ensuring accuracy and timeliness.
  • Tenant Communication: Serve as the primary point of contact for tenant inquiries and concerns, providing prompt and professional responses.
  • Lease Compliance: Verify that all lease agreements adhere to company policies and relevant regulations, ensuring a compliant and efficient leasing process.
  • Rent Collection & Recordkeeping: Track rent payments, prepare invoices, and maintain accurate financial records, ensuring transparency and accountability.
  • Administrative Support: Assist with filing, data entry, and maintaining lease records, providing administrative support to leasing managers in daily operations.
  • Reporting: Generate regular reports on lease status, tenant interactions, and financial performance, providing valuable insights for leasing managers.
  • Lease Renewals: Handle the renewal process, including sending out notices and preparing updated lease documents, ensuring a smooth transition for tenants.
  • Client Interaction: Coordinate with landlords, tenants, and vendors to address lease-related matters, fostering strong relationships and resolving issues efficiently.
  • Property Management: Assist in managing tenant move-ins and move-outs, ensuring proper documentation and coordination with property management teams, maintaining a seamless leasing experience.

Qualifications:

  • Prior experience in leasing administration or property management, with a strong understanding of lease agreements and compliance.
  • Excellent organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Proficient in Microsoft Office, particularly Excel, and property management software, with the ability to learn new systems quickly.
  • Exceptional communication and customer service skills, with the ability to build strong relationships with tenants, landlords, and vendors.
  • Ability to work independently and collaboratively in a fast-paced environment, with a strong attention to detail and commitment to accuracy.

Preferred:

  • Knowledge of local and state leasing laws, with the ability to apply this knowledge in a practical setting.
  • Experience with property management software systems like Yardi or RealPage, with the ability to learn new systems quickly.
