Position Overview: As an Office Clerk at Eximius Associates, you will be responsible for a variety of administrative tasks that are crucial to the day-to-day operations of our office. The ideal candidate will be organised, proactive, and capable of managing multiple tasks simultaneously with accuracy and efficiency.
Key Responsibilities:
- Perform general clerical duties, including data entry, filing, photocopying, and faxing.
- Handle incoming and outgoing correspondence, ensuring that mail and emails are distributed to the appropriate departments or individuals.
- Manage office supplies inventory, placing orders as needed and maintaining a well-stocked supply room.
- Assist with scheduling appointments, meetings, and travel arrangements for staff.
- Maintain and update office records, databases, and filing systems to ensure accuracy and confidentiality.
- Answer phone calls, direct inquiries, and provide information to callers in a professional and courteous manner.
- Support the preparation of reports, presentations, and other documents as required by management.
- Greet visitors and manage the sign-in process, ensuring a welcoming and professional reception area.
- Assist with special projects and tasks as assigned by supervisors or management.
- Ensure compliance with company policies and procedures, particularly regarding document management and data protection.
Qualifications:
- Previous experience in an administrative or clerical role is preferred.
- Strong organisational skills and attention to detail.
- Proficiency in using office software, including word processing, spreadsheets, and email.
- Excellent communication skills, both written and verbal.
- Ability to manage time effectively and handle multiple tasks with accuracy.
- A positive attitude and a commitment to providing excellent service to colleagues and clients.
- High school diploma or equivalent; additional qualifications in office administration are a plus.
