Under the general direction of the Controller, the Accounts Payable Specialist is responsible for preparing and processing invoices for payment, maintaining the accounts payable records and producing accounts payable reports. Also responsible for maintenance of various departmental projects, providing administrative support as needed
II. Essential Responsibilities· Receives, reviews and process all incoming invoices, check requests and expense reports;
· Codes invoices to appropriate expense accounts and funding sources;
· Enters all vouchers into the accounts payable accounting system for batching and payment processing;
· Processes ACH payments and prints checks. Obtains appropriate signature(s) and coordinates timely mailing of checks;
· Enters medical and dental patient refunds, issues refund checks and mails to patients with any documentation provided by the billers;
· Prints and maintains A/P reports and vendor files;
· Analyzes vendor files and prepares 1099’s for review and annual submission;
· Ensures that completed W-9’s and NTTC’s are obtained for all non-employee compensations;
· Assists is creating and monitoring Purchase Order encumbrances;
· Assists with vendor exclusion verifications per federal, state and local grant requirements;
· Reconciles and replenishment petty cash;
· Assists the Controller with month-end and year-end close activities including journal entries and reconciliations;
· Assists the Controller in the annual audit process to ensure timely provision of worksheets, accounting and operational details, and other relevant information;
· Serves as back-up for daily cash deposits.
Requirements:I. Education, Experience and Skills/Training· Bachelor’s degree from an accredited college with a minimum of 2-3years of work experience in Accounting, preferably in Accounts Payable, required;
· Recent health care accounting experience in the Federally Qualified Health Center environment highly preferred;
· Basic Knowledge and ability of general office procedures including filing, copying, faxing, use of a computer, to multitask within established deadlines, work under the direction of a supervisor and follow instructions for work completion, and take initiative to resolve patient concerns and problems;
· Computer proficiency in Microsoft Excel spreadsheets;
· Detail oriented, meticulous in the presentation of work products and a strong emphasis on accuracy;
· Fluent in English.
