GENERAL FUNCTION:
Reporting to the New Home Project Manager, the Construction Administrator is responsible for the timely, efficient, and accurate administration of Asheville Area Habitat for Humanity's New Home Construction Program.

KNOW HOW:
Committed to the mission of AAHH, the incumbent should have experience in the administrative and clerical support of a department. Possess strong organizational skills and a passion for administrative excellence and efficiency. The Construction Administrator will serve as a point of contact for vendors, customers, employees, and the public. To be successful in this position, the applicant must have accuracy, attention to detail, problem solving skills, and the ability to consistently follow process and procedure.

PRINCIPAL ACTIVITIES:
  1. Provide documents, information and support to Habitat staff as needed.
  2. Maintain office infrastructure and assist in the facilitation of team meetings and construction conferences, including taking minutes.
  3. Assist on the management and documentation of department invoices, including invoices from subcontractors and material vendors.
  4. Maintain and update electronic filing system of current subcontractors, active build sites and project bids.
  5. Maintain plan specific database of all material take-offs, order and track all jobsite materials utilizing bulk order discounts and GIK opportunities when available.
  6. Assist in coordinating the completion of new homes.
  7. Participate in keeping current plans on hand at the jobsite office and in permit boxes.
  8. Assist with land development and subdivision design/permitting.
  9. Maintain adequate vehicle, tool and equipment inventories and manage the inspection, repair, and replacement process.
  10. Assist in overseeing maintenance on all active sites including waste removal, recycling, and site security, as well as assist in the logistics of site-to-site transitions and bulk material storage.
  11. Assisting with Home Warranty requests.
  12. Assisting with maintaining safety and safety protocols on the jobsite.
  13. Assist in securing gift-in-kind services and materials as appropriate.
  14. Assist in researching construction materials and processes and make appropriate selections for AAHH building program based on performance, availability, ease of use and price.
  15. Assist with municipal and utility rebate programs.  Coordinate Habitat “green building” certifications.
  16. Assist with the management of construction project management software programs.
  17. Perform other duties as assigned.

QUALIFICATIONS:
  • Commitment to the mission and values of AAHH.
  • Proficiency in internet applications and MS Office Software (Outlook, Excel, Power Point, Word and Adobe Pro).
  • Excellent computer skills including proficiency with on-line research, and construction project management software programs.
  • Possess strong organizational skills and a passion for administrative excellence and efficiency.
  • Excellent data entry skills
  • Exhibits accuracy and attention to detail in all areas of work.
  • Able to communicate clearly and effectively, both orally and in writing.
  • Able to work effectively as part of a team.
  • Able to understand and carry out oral and written instructions, with minimum supervision.
  • Exceptional attention to detail, problem solving, and consistently following process and procedure are necessary qualities of the position.
  • Ability to work in a fast-paced construction environment.
  • Prefer someone who can read construction drawings.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:
Most of the work is done in a professional office environment and routinely requires operating standard office equipment such as computers, photocopiers, etc.

At times there will be site work on a construction worksite where there will be exposure to dirt, dust, dampness, construction debris, extreme temperatures, construction noises, fumes and odors from construction materials.

Must be able to:
  • Stand or walk for the majority of a workday, including working on uneven surfaces.
  • Regularly lift 10-35 pounds;  occasionally 50 pounds or more.
