Position: Residency and Chief Medical Officer Assistant

About the Role:

Greater Seacoast Community Health is looking for a dynamic person who is excited to work as the Residency Coordinator AND Chief Medical Officer Assistant. In this combined role, the person will be providing comprehensive administrative support to the Chief Medical Officer and Coordinate our Residency Program. You will develop and manage scheduling templates, coordinate provider schedules, and assist with administrative duties such as creating spreadsheets and enhancing workflows. Additionally, you'll oversee the electronic peer review system on a quarterly basis.

DUTIES AND RESPONSIBILTIES:

Develop and manage scheduling templates for 12 residents across all Greater Seacoast Community Health sites.

Monitor resident productivity for the CMO.

Foster positive relationships with Residency program staff, preceptors, and faculty.

Collaborate with clinical staff to develop procedures and processes.

Create and maintain agendas for residency-related and provider meetings, and record minutes.

Coordinate orientation and onboarding for residents, including administrative support for meetings and trainings.

Provide administrative support to the CMO and residents as needed.

Set up and manage electronic and paper filing systems.

Manage projects and contribute to committee or team work.

Coordinate conferences, meetings, and special events, such as luncheons and graduation ceremonies.

Provide administrative support to staff, managers, directors, and the CEO as requested.

Ensure patient schedules are updated when residents are unavailable.

Liaise with the Community Health Area Network (CHAN) for administrative support and issue resolution.

Assist with after-hours call scheduling and coordination with the CMO and clinical nurse director.

Attend clinical meetings with Somersworth staff.

Coordinate onboarding tasks and meetings with CHAN for provider trainings and approvals.

Perform HR functions related to providers, including arranging interviews and coordinating schedules.

Recruit and manage preceptors.

Assist the practice manager with provider time-off workflows and documentation.

Support special events as needed.

Qualifications:

High School Diploma or equivalent required.

Preferred: Associate’s degree in a related field or equivalent from a two-year college or technical school, or two years of related experience and/or training.

One year of experience in a busy outpatient medical practice or an equivalent combination of education and experience.

Strong customer service skills and commitment to being an effective professional team player.

Excellent time management skills, advanced computer proficiency, and ability to organize and manage multiple priorities with attention to detail.

Excellent written and verbal communication skills.

Ability to work well under pressure and independently.

Maintains confidentiality under all circumstances.

Hours per week: 40 Non-Exempt Full time

Schedule: M-F

Pay: $22.00- 31.25 depending on experience.

Physical Demands and Work Environment:

Perform tasks requiring physical dexterity, such as typing and using office equipment.

Effective oral and written communication skills.

Ability to interact with diverse populations.

Visual acuity for data analysis and computer use.

Benefits

All regularly scheduled employees working at least 32 hours per week are eligible to receive full benefits; those working 24-31 hours per week will receive prorated benefits. Our comprehensive benefits package includes:

Earned time (15 days in your first year, 20 days in your second year, pro-rated by FTE). This includes paid sick, vacation and personal time
