A successful Customer Service Representative/Dispatcher effortlessly juggles customer interactions and dispatch responsibilities. You will need to excel at understanding customer needs, scheduling appointments, and proactively filling open slots, as well as consistently matching the right technician to each job, based on skills and job requirements. Additionally, you will efficiently manage warranty processes and meticulously maintain accurate job-related data.

Key Responsibilities for the Customer Service Representative/Dispatcher:

  • Handle inbound/outbound customer calls, turning inquiries into appointments and addressing concerns to ensure satisfaction.
  • Process customer purchase orders and invoices within preferred database systems.
  • Maintain and proactively manage the maintenance schedule, ensuring timely confirmations and reminders.
  • Dispatch technicians efficiently, balancing schedules, requests, and urgent needs.
  • Prepare and organize daily work schedules and orders for technicians.
  • Keep customer database updated and accurate for seamless communication.
  • Verify and adjust technician time sheets using GPS data.
  • Assist with organizing and distributing stock parts as needed.
  • Monitor and respond to customer messages promptly through various platforms.
  • Contribute to social media marketing efforts as directed.
  • Manage warranty submissions, ensuring a smooth process for customers.
  • Be available during business hours and participate in on-call rotation for nights and weekends.

Ideal Candidate Profile for the Customer Service Representative/Dispatcher:

  • Customer service and dispatch experience in the HVAC industry is a plus.
  • Tech-savvy with experience in Service Titan and/or ServiceChannel systems preferred.
  • Strong written and verbal communication for clear, effective problem-solving.
  • Detail-oriented with accurate data entry skills.
  • Empathetic and approachable, able to handle difficult customer situations calmly.
  • Reliable and thrives under pressure, with excellent multitasking abilities.
  • Positive team player eager to learn and grow in a fast-paced environment.
