JOB SUMMARY

This part-time position supports the Accounting department with ongoing tasks, specifically focused on the processing of vendor invoices alongside the Accountant. This position is based in the Fremont, CA office.

DUTIES & RESPONSIBILITIES

  • Perform full cycle Accounts Payable functions including GL coding, invoice entry, and obtaining authorized approvals ahead of processing.
  • Set up and maintain AP records, reports, and files in an organized manner.
  • Maintain vendor relationships.
  • Communicate via email with vendors inquiring about their invoice status.
  • Ensure monthly closing of accounts payable in a timely manner.
  • Coordinate expense accruals identification process at month-end.
  • Support the weekly payment process.
  • Interact effectively cross-functionally to resolve accounting matters.
  • Assist with annual 1099 preparation.
  • Produce vendor reports as requested.
  • Assist with miscellaneous month end reporting and support needs.
  • Complete other duties and/or special projects as assigned.

SUPERVISORY RESPONSIBILITIES

  • None

QUALIFICATIONS

Required:

  • High School diploma.
  • 1-2 years of prior experience in Accounts Payable or as an Accounting Clerk.
  • Prior Experience with any ERP system.
  • Proficiency with Microsoft Outlook and Excel.
  • Excellent written and verbal communication skills.
  • High standards for organization, attention to detail, accuracy and efficiency.
  • Ability to handle assignments independently and concurrently.
  • Ability to be proactive, flexible, and to work well under pressure in a supportive environment.
  • Team-focused attitude with a willingness to work together to achieve department objectives.
  • Able to exercise appropriate judgment as necessary.
  • Ability to maintain absolute confidentiality.
  • Dependable with excellent attendance and punctuality.

Preferred:

  • Experience with Epicor.

PHYSICAL DEMANDS & WORK ENVIRONMENT

  • Able to work 20 – 25 hours per week during standard business hours, with at least two 4-hour days on site at the Fremont, CA office each week.
  • Must be able to remain in a stationary position and operate office equipment for a prolonged period of time.
  • Physical activities include, but not limited to constant manual dexterity, moving about the work site, and/or handling objects weighing up to 20 lbs.
  • Other infrequent physical activities include, but not limited to, positioning self to complete assigned tasks, and ascending/descending floors and/or ladders.
  • Occasionally work around moving mechanical parts.
  • Must be able to work Monday to Friday in a schedule that commensurate with business operation.
