The Lead Student Ministry Administrator role at Park Cities Baptist Church is an exciting opportunity to invest in the Next Generation This role will be responsible for the daily operations of the Middle School and High School ministries with an emphasis on event planning, financial accounting, and coordination of all office functions. If you are administratively gifted and are excited about Youth Ministry this may be a good fit for you

Role and Responsibilities

  1. Event Planning
  • Coordinates and prepares all Middle School and High School events, retreats, trips, camps, mission trips etc. including recruiting of leaders, transportation, supplies, food, and other necessities
  • Work extensively with area ministers to plan and communicate all aspects of Student Ministry events and ministries
  • Plans all Middle School and High School needs for space considerations, room setups, and other additional requests relating to PCBC facilities
  • Working closely with the Creative Arts department to have logos, postcards, posters, booklets etc. created for larger events in the Student Ministry

  1. Budget Management
  • Conducts financial transactions for Student Ministry events and daily operations
  • Oversees the use of budget funds for Student Ministry
  • Follows the PCBC Financial policies: including Expense reporting, Accounts Payables, and Purchase Orders for Student Ministry

  1. Office Management
  • Scheduling and calendaring
  • Centralizing communication with students, parents, lay leadership, and church staff
  • Safe@Church compliance management
  • Registration for events
  • Contracts for speakers, bands and special events – following policies to get approval and following up on all aspects of contracts.
  • Membership Maintenance
  • Handles publicity and communication via church publications, mail outs, and email
  • Delegation of appropriate assignments to students, parents and lay leadership
  • Attendance maintenance – oversees that all attendance is entered for Sundays and Crew each week for Middle School and High School groups.

  1. Intern Development
  • Assists the interns with planning their events, with administrative help, and keeping in line with the church policies, etc.

  1. Student Development
  • High School Wednesday Night– greet and encourage students, record attendance including guest registration
  • Sunday Mornings – greet and encourage students, guests and lay leadership, available for troubleshooting

  1. Parent Ministry
  • Helps coordinate parent meetings/events during the year to provide support and communicate information
  • Senior Commissioning Sunday – sends out letters and invitations to parents and seniors regarding this special occasion, collects senior pictures and information to go in the senior booklet, coordinates senior dinner with catering and set up. Communicate with families about the details of the senior events.

  1. Other duties as assigned by supervisor.
