Position Title: Refugee Progress Assessment Coordinator

Reports to: Case Manager Supervisor

Hiring Range: $18.00-$23.00/hr. DOE

Primary Function of Position

The Refugee Progress Assessment Coordinator oversees the timely completion of progress assessments for each refugee client aged 16 and older in the Refugee Coordinated Case Management Program. This role involves communicating with case managers, clients, and state government counterparts to schedule, conduct, and document progress and upward mobility assessments. The coordinator manages schedules, documents action plans, and completes and uploads budgets, ensuring all related functions are fulfilled and properly recorded.


Major Position Responsibilities

  1. Assessment Tracking: Track the timing of initial, 6-month, 12-month, and 18-month progress assessments for each client 16 years old or older.
  2. Assessment Completion: Complete progress assessments within the established timeframe.
  3. Communication: Communicate with case managers regarding client situations to prepare for assessment interviews.
  4. Scheduling: Schedule assessments with the client and Licensed Clinical Therapist (LCT) from the Department of Workforce Services. Coordinate with the CCS case manager as needed.
  5. Assessment Attendance: Attend progress assessment with client and LCT, representing CCS case manager.
  6. Documentation: Write a case note summary of the progress assessment and enter it into UWORKS within three business days of the appointment.
  7. Action Plan Development: Complete action plans based on progress assessments.
  8. Client Coordination: In each progress assessment, agree upon the client action plan with the client and LCT based on the assessment.
  9. Action Plan Recording: Record an action plan in UWORKS with at least a primary goal identified for every member of a case.
  10. Action Plan Communication: Communicate the action plan to the appropriate case manager.
  11. Budget Completion: Complete case budgets corresponding to each progress assessment.
  12. Situation Communication: Communicate with the case manager about a case's situation and needs.
  13. Meeting Coordination: Set up meetings with the case manager and each adult member of the case.
  14. Budget Assistance: Help complete or update an individualized budget form.
  15. Budget Upload: Upload budget to UWORKS within three business days of meeting.
  16. Case Registration: Register each case at jobs.utah.gov.
  17. TEVS Submission: Submit TEVS (online TANF application) for each case.
  18. Meeting Attendance: Attend meetings and training as required by the supervisor.
  19. Data Compilation: Compile data for quarterly R&P, MG, other grant reports, and quarterly training reports.
  20. File Organization: Assist with case file organization.
  21. Other duties as assigned

Work Environment

  1. This position is in a professional office environment using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
  2. Some local travel may be required.

Physical Demands

  1. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.
  2. This role includes driving locally.

  6. Confidentiality: Must maintain confidentiality regarding clients.
  7. Computer Proficiency: Proficiency in computer skills to maintain financial data, spreadsheets, databases, scheduling, and email in Outlook.
  8. Personal Qualities: Personal qualities of openness and respect for co-workers and clients, compassion, and graciousness in helping clients to assess and face their situations and to accept assistance.

Education, Training, and Experience

  1. Bachelor's degree from an accredited university or equivalent experience.

Background Screening Requirement

  1. Must pass a national BCI/FBI background check.

Licenses, certifications, and credentials

  1. Current Utah driver's license, proof of auto insurance with minimum policy liability limits of $50,000 per person and $100,000 per incident, 21 years of age or older, a clean driving record, and ability to meet CCS vehicle safety requirements.

Position status and expected schedule

  1. Full-time, 40 hours per week.
  2. Monday through Friday, 8:30 am to 5:00 pm; occasional nights or weekends.
