Job Summary:

Reporting to the Dean, School of Natural & Mathematical Sciences, with guidance from the TSC Department Chairs, the TSC Support Services Specialist serves as a member of the staff to provide high level office support duties and provides specialized support for all departments and programs within the Trustee Science Center. The TSC Support Services Specialist will perform a wide range of administrative duties including conducting research, purchasing and reconciliation for all TSC budgets, preparing correspondence and reports, handling information requests, planning events, providing student payroll support, and maintaining TSC calendars and schedules.

Duties/Responsibilities:

  • Address problems and questions from various constituents personally and by email/telephone.
  • Responsible for efficient work flow and daily operations of the Trustee Science Center, including the coordination of mail and shipping as required.
  • Manage and complete purchase requisitions and orders, including independently securing lowest bids from companies for approval, for all equipment, supplies, and services required by TSC departments.
  • Track department budgets. Process purchase orders and check requests.
  • Using a personal computer, software and laser printer, type all administrative correspondence. Proofread and edit for spelling, grammar, etc.
  • Responsible for oversight of various aspects of the pre-health program and the dual-degree nursing program, including processing early acceptance applications for students interested in the programs, generating reports as requested by the Dean or Pre-Health Director, serving as liaison with other University departments and external constituencies pertaining to student activities.
  • Maintain computer-generated teaching calendar and assist in scheduling appointments, reservation of facilities, and notification of all participants for appointments.
  • Coordinate and manage processes and materials related to university accreditation, ensuring all policies and practices are followed.
  • Maintain office files for all department and program functions.
  • Assist in planning department events on and off campus including coordination with other departments, vendors, and caterers. Make travel arrangements as required. Plan, coordinate, and assist with special events and meetings.
  • Perform other duties as assigned.

  • Excellent computer skills and proficient in the use of all components of Microsoft Office.
  • Knowledge and understanding of higher education policies pertaining to work ethic and problem solving.
  • Excellent written communication, proofreading skills, and attention to detail.
  • Ability to maintain confidentiality of all materials handled and seen in process of performing job responsibilities.
  • Ability to work with diverse and multi-disciplinary teams.
  • Ability to work independently in order to organize and prioritize workload.
  • Ability to make decisions within the scope of assigned authority.
  • Analytical and mathematical skills are necessary for data gathering, maintaining records, and preparing reports.

Education and Experience:

  • Bachelor’s degree in related field, or an equivalent combination of education and experience is required. Experience with purchasing is preferred.
